JOB PURPOSE:
Manage and Lead Clearing Unit towards achieving core processing objectives and Operation's vision. Maintain service standards (SLAs, KPIs, and KRIs), people management and operational efficiency standards. Manage the work flow whilst taking into consideration risks in day-to-day activities related to ICCS clearing activities, PDC, FCY collection Cheque and VOSTRO collection processing and ensure all related GL's and suspense account are daily reconciled on daily basis without any exception. Provide the best possible customer services in the most efficient manner in line with the policies & procedures of the Bank. Reduce operational risk and achieve greater efficiency through change and the appropriate use of technology. Enhance the efficiency parameters within the Cheque Management unit and ensure 100% compliance.
KEY ACCOUNTABILITIES:
Strategic Contribution
Ensure effective cascading of the functional strategy into department business plans to ensure vertical alignment and horizontal integration with other interfacing departmental strategies.
People Management
Manage the effective achievement of assigned objectives through the leadership of the Core processing by setting of individual objectives, managing performance, developing and motivating staff to maximize sectional performance.
Lead the talent development initiatives for the assigned department, collaborating with technical/discipline experts and thereby ensure the availability of talent to fit business requirements.
Act as a role model and drive adherence to organizational values and ethics by employees of the assigned department to foster a value driven culture within the bank.
Budgeting and Financial Planning
Manage the preparation and recommend the department budget and monitor financial performance versus the budget while ensuring all sectional activities are conducted in line with the approved guidelines.
Offshoring process,
Lead offshoring processes and monitor performance position reporting any failures or beaches to high management.
Lead and monitor functions handling, review SLA and SOP's on timely manner.
Policies, Systems, Processes & Procedures
Manage and ensure effective implementation of CMU functional policies, procedures and controls covering all areas of assigned department activity so that all relevant procedural/legislative requirements, fulfilled while delivering a quality, cost-effective service.
Continuous Improvement
Lead the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.
Reporting
Ensure that all unit reports are reviewed/ escalated timely and accurately and meet FGB-NBAD requirements, policies and quality standards.

Specific Accountability
Operational Services,
Manage and ensure that quality services are consistently provided to all internal customers and all service level agreements set are appropriately met.
Directly responsible for organization and supervision of total activities and end-to-end processes.
Increase operational quality/efficiency by providing & implementing improvement suggestions.
Service Level Agreements: Ensure all activities are carried out as per the agreed SLAs with necessary action internally and external in case if any breaches.
Manage unit's entire work flow efficiently with the resources available without compromising on the risk and services.
Manage the unit's entire functions independently with minimum intervention from senior Manager and accept additional work load distribution.
Improve and suggest new enhancement to the existing systems which will enhance efficiency, quality and control of work in the section.
Ensure unit's entire best practices are used and Policies & Procedures Manual updated at regular intervals.
Manage unit's entire effective communication at all levels. Work in term whenever needed to facilitate the work flow and avoid any risk. Conduct meeting, give effective and professional suggestion to develop the quality of the services at ROC.
System Enhancement/Automation: Manage enhancement to the existing system to improve efficiency and reduce risk.
Monitor unit's entire performance and issues closely and in case of any service issue take appropriate measure to ensure customer services are not effected
Operational RISK :
Manage and control unit's entire work flow by taking into Consideration operational Risk KRI's in our day to day activities and ensure all the staffs adhere to bank policy and procedures.
Develop unit's entire control procedures according to new changes to avoid risk.
Ensure all risk in the unit is identified and appropriate control measures are put in place to mitigate the risk.
Ensure that no unjustified audit comments and prepare replies to Audit comments if any and follow up until resolve.
Escalate high management or to the reporting authorities for any suspicious transactions/remittances received and report immediately as per the AML requirements.
Internal Audit and Compliance Reports: Review unit's entire audit comments pertaining to the Centre and ensure that corrective actions are taken and are not repeated.
Take necessary action to prevent recurrence of the unit's entire errors that may include procedure amendment, staff training, and counselling.
Ensure unit's entire effective KPI where staff performance is evaluated in term of productivity and error
Anticipate system error on high volume days and take measure in advance to correct them by closely monitoring or provide manual solution in order to avoid any financial or reputational risk.
Managing People :
Monitor unit's entire staffs overall performance through, reviewing their KPI which include punctuality, Attendance, productivity, quality, and training requirements.
Review periodically the staff job functions and ensure that all unit's entire staff within the unit is fully aware of all the process which would facilitate job rotation.
Manage and deploy staff resources in order to maximize efficiency and ensuring that Risk, Service and the Career needs of staff are properly considered.
Allocate AVP staff responsibilities in respect of all service products/activities.
Staff Training: Ensure that AVP staffs are trained on the job before they are assigned the responsibility.
Staff Performance: Assess the performance of AVP's on regular basis and provide them constructive feedback to improve their performances. Identify star performers and groom them for higher responsibility. Underperformer(s) needs to be trained to improve their performance and also ensure every staff are trained for every job of the unit
Administration: Manage AVP's leave/performance appraisal/setting KPIs of staff etc.
Ensure AVPs make Things to do List on start of every day
Clearing Centralization Efficiency,
Ensure that the business is managed effectively in the unit's entire with minimum resources and maximum level of efficiency.
Maintain an up-to-date unit's entire manual of all processes and ensure that it is effectively communicated and readily available to all staff for reference.
Prepare the unit's entire budget for the unit, and ensure that all associated costs are managed within the approved budget.
Procedures: Ensure all activities are done within FAB's approved policies & procedures
Explore possibility and take addition work form branches in order to make efficient business model for Cheque Management unit
Propose process improvement where needed and ensure its implementation in order to achieve business efficiency
Manage improvement of quality and efficiency in unit's entire work resulting in best customer service.
System Enhancement/Automation: Manage enhancement to the existing system to improve efficiency and reduce risk.
Take necessary action to prevent recurrence of the errors that may include procedure amendment, staff training, and counselling.
Clearing offshoring Efficiency,
Ensure that the offshore preforming effectively with maximum level of efficiency.
Review all offshore MI's and reports on daily, weekly, monthly reporting any failures or gaps.
Review contracts maintained with offshore and update any changes required.
Review policies and procedures set for offshore process handling any changes required on timely manner.
Qualifications
Minimum Qualification:
BA or higher degree level or equivalent education with accounting/ banking/ business administration/ Management background
Deep understanding & exposure to technology, Clearing Operations and systems within the region,
Good communication, planning and organisation skills
Conversant with MS Office and other Analytical tools
Minimum Experience:
A minimum of 9 years\' relevant experience in the banking operations Management sector with at least 7 years in similar positions of progressively increasing managerial responsibilities in the banking operations function.
