Job Description

:Ensure streamlined HR operations for UAE BU, regulatory compliance, and efficient warehouse and branch management. This includes overseeing visa and residency processes, maintaining accurate documentation, supporting employees, managing governmental interactions, and ensuring legal compliance. The role also involves handling warehouse finances, procurement, inventory, and pharmacist compliance. By fulfilling these responsibilities, the job contributes to organizational effectiveness and enhances employee experiences.AccountabilitiesHR Operation
  • Visa and Residency Management: Oversee the issuance and renewal of various visas (work, visit, tourism) and handle the coordination of medical check-ups, medical insurance, and UAE residency permits for employees and their families.
  • Governmental Compliance: Ensure compliance with governmental regulations by managing commercial registrations, license acquisitions (DHA, DOH, MOH), civil defense licenses, and other required certifications.
  • HR Documentation and Systems: Maintain accurate employee records by managing the addition of employees to HR systems, organizing hardcopy files for archiving, and handling employee checklists and self-service operations.
  • Employee Support and Offboarding: Support employees by managing vacation records, coordinating offboarding processes, and organizing support services such as travel arrangements.
  • Execute the new hiring applications on the system through the insertion of the assigned employee number and employee data on the system to ensure the availability of the new hires data on Nahdi Human Resources Management System (HRMS).
  • Execute the termination process for all resigned or terminated staff starting from receiving the request, finalizing in the personnel files till release of end of service payment or null to ensure timely and accurate termination process.
  • Governmental System Coordination: Facilitate interactions with governmental systems, such as submitting job offers, requesting visa cancellations, and tracking progress.
  • Legal Compliance: Ensure legal compliance within employee relations by coordinating actions within the legal framework and handling necessary documentation.
Warehouse & Branch Operation:
  • Warehouse Financial Management: Maintain financial custody for branch operations, including managing petty cash and handling monthly invoices for utilities (water, electricity, internet, and air conditioning).
  • Procurement and Inventory: Issue purchase requisitions for investments and pharmacy-related needs, and promote onsite offers and manage inventory through the Economic Portal for each city location.
  • Pharmacist and Medical Compliance: Manage pharmacist licenses, including annual renewals and linking them with the governmental platform. Ensure compliance with narcotic inventory control regulations set by DHA, DOH, MOH.
  • Documentation and Attestation: Handle the authentication and renewal of rental locations, attestation of best control licenses, and police CID requirements for narcotic clarification.
Employee duties are not limited only to the above-mentioned Accountabilities; he/she may perform other duties as assigned.Work Environment
