Job Title: Administrative Executive Reports To: Operations Manager / Administrative Manager Location: [Company Location] Job Summary: The Administrative Executive is responsible for providing comprehensive administrative support to the organization. This includes managing office operations, coordinating with various departments, and ensuring that all administrative tasks are performed efficiently and effectively. The role requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. Key Responsibilities:
  • Office Management:
  • Oversee daily office operations and ensure that the office environment is well-maintained and organized.
  • Manage office supplies and inventory, ensuring that necessary supplies are ordered and stocked.
  • Coordinate maintenance and repair of office equipment and facilities.
  • Administrative Support:
  • Provide administrative support to senior management and other departments as needed.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Schedule and organize meetings, appointments, and travel arrangements for executives.
  • Communication and Coordination:
  • Act as a point of contact for internal and external communications.
  • Coordinate with various departments to ensure smooth workflow and information exchange.
  • Handle incoming and outgoing mail and correspondence.
  • Record Keeping:
  • Maintain and update company records, databases, and filing systems.
  • Ensure that all documents and records are stored securely and are easily accessible.
  • Event Planning:
  • Assist in planning and organizing company events, meetings, and conferences.
  • Coordinate logistics for events, including venue selection, catering, and equipment setup.
  • Human Resources Support:
  • Assist with HR-related tasks such as onboarding new employees, maintaining employee records, and coordinating training sessions.
  • Help manage employee attendance records and leave requests.
  • Financial Administration:
  • Assist with basic financial tasks such as processing invoices, expense reports, and purchase orders.
  • Maintain records of financial transactions and liaise with the finance department as necessary.
Qualifications:
  • Proven experience as an administrative executive, administrative assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Ability to work independently and as part of a team.

Working Conditions:
  • Full-time position.
  • Monday to Thursday - 9:00AM to 4:00PM
  • Friday - 9:00AM to 12:00PM
