Overview

World Stage Design 2025 (WSD25) is a prestigious international event showcasing performance design from around the globe. We are looking for a detail-oriented and dynamic Transport & Logistics Coordinator to ensure the smooth operation of logistics and transportation for the event. The role involves overseeing flight and accommodation booking for the partners and contributors of WSD25, and the movement of stage materials and technical equipment, and the transportation of attendees during the event while maintaining efficiency, cost-effectiveness, and adherence to timelines.

Duties

? Transport Logistics Planning : Develop and implement a comprehensive international and national logistics plan for personnel, materials and equipment for the event.

? Staff & Equipment Scheduling : Coordinate with the WSD2025 team to schedule the movement of technical equipment, performers, and stage crew across various locations.

? Programme Transport Management : Liaise with transportation service providers, negotiating contracts and coordinating schedules to ensure the timely and secure transportation of delegates during the event.

? Freight & Customs Management : Organize international shipments of design installations and materials, ensuring all customs and freight documentation is completed accurately and on time.

? On-Site Coordination : Manage the delivery of materials and equipment on-site, ensuring all logistical movements align with the event's schedule and production needs.

? Health & Safety Compliance : Ensure all transportation and logistics operations comply with safety regulations, including the handling and transporting of heavy equipment.

? Budget Oversight : Monitor and control the transportation and logistics budget, ensuring cost-effective solutions without compromising quality.

? Problem Solving & Troubleshooting : Anticipate and address any transport-related challenges or delays, providing quick and effective solutions.

? Stakeholder Communication : Maintain clear and consistent communication with WSD2025 team, artists, and external vendors regarding logistics timelines and requirements.

? Network and Negotiate : With hotel, transportation, car, and freight companies.

Requirements

Able to demonstrate....

? Experience : Minimum of 3 years of experience in event logistics or transport coordination, ideally within the performing arts or large-scale event sectors.

? Knowledge : Familiarity with international flight and hotel booking.

? Project Management : Strong organizational skills with the ability to manage multiple priorities, deadlines, and stakeholders.

? Problem-Solving Skills : Ability to remain calm and composed under pressure, offering quick solutions to logistical issues.

? Communication : Excellent interpersonal and negotiation skills, with the ability to work effectively with diverse teams and suppliers.

? IT Proficiency : Experience using logistics software or tools to manage schedules, budgets, and transport planning.

? Health & Safety Awareness : Understanding of relevant health and safety standards in transportation and event logistics.

Preferred...

? Experience with sustainability practices in event logistics.

? Knowledge of the performing arts industry and its specific logistical challenges.

? Multilingual capabilities are a plus, given the international nature of the event.
