:
- Diary management, organizing travel and a variety of other administrative tasks.
- Document Management: in charge of creating, organizing, and storing important documents.
- Provides a high degree of administrative support to Head of RPM (including but not limited to calendar & document management, travel arrangements, expenses etc)
- Organizing Meetings: From scheduling to preparing agendas, a Team Assistant ensures all meetings run smoothly.
- Attending meetings and taking minutes/action notes. Providing full support on video conferencing using CC supported applications. (Including design & construction related meetings)
- With the help of their team leaders, the Team Assistant schedules appointments alerts the team of looming deadlines and often keeps track of project expenses.
- Set up of project requirements and project files.
- Generating and issuing monthly progress status reports for both internal and external documentation.
- Checking the quality of drawings and documents to be catalogued.
- Producing different listings.
- Assembling equipment data books.
- Forwarding material to client along with official transmittal document.
- Checking the accuracy of transmittals.
- Expediting the review of internal and external documentation within engineering departments.
- Monitoring all drawings and documents.
- Maintain RFI, NCR and Transmittal Logs.
- Providing technical guidance to co-workers; a 'go to' person.
Requirements
- Thorough knowledge of construction design, construction & real estate terminologies.
- Considerable experience working with and understanding construction documentation.
- Strong IT skills. Very strong in excel and word.
- Superior written and verbal communication skills.
