The System Engineer for Email and Collaboration Services is responsible for the administration, management, and optimization of Microsoft 365 (M365) services, including email platforms (Microsoft Exchange Online), collaboration tools (Microsoft Teams, SharePoint Online, OneDrive), and email security solutions. This role plays a critical part in enabling seamless communication, collaboration, and data security across the UAE University community. He / She will be responsible for all day-to-day support and service requests raised by Helpdesk. ? Administration of Microsoft 365 services, including Exchange Online, Microsoft Teams, SharePoint Online, OneDrive, and other collaboration tools. ? Provide next-level support for the Helpdesk by resolving email, collaboration, and security-related issues independently. ? Monitoring and optimizing M365 service performance, including mailbox database health in a distributed and cloud-based environment. ? Monitoring email traffic queues and taking remedial actions to mitigate spam, phishing attacks, and other security threats. ? Manage mailbox, distribution list creation, and administration tasks using PowerShell scripts and the M365 Admin Center. ? Email security management, including configuration of anti-spam, anti-phishing, and data loss prevention (DLP) policies within M365 Defender. ? Backup and recovery administration for mailboxes and disaster recovery for the messaging environment. ? Configure and manage overall email routing, client mailbox access, and integration with external systems at the server and M365 levels. ? Responsible for documenting changes in the messaging and collaboration system architecture, including SharePoint Online and M365 applications. ? Administration and management of SMTP Gateways and email security appliances (e.g., FortiMail, Microsoft Defender for Office 365). ? Monitoring and configuration management of email archiving systems, including migration to modern archiving solutions (e.g., M365 compliance tools). ? Maintaining a post-production test environment to evaluate patches, upgrades, and new features for M365 services. ? Develop, configure, and maintain M365 collaboration tools such as Teams, SharePoint Online libraries, lists, and site collections. ? Perform system administration tasks such as user training, site creation, backup and restoration, and issue resolution for SharePoint Online. ? Participate in planning and executing tasks related to evaluating new M365-based initiatives (e.g., feature updates, third-party integrations, and security enhancements). ? Ensure compliance with information security policies and procedures, with a focus on M365 security, data privacy, and regulatory standards. ? Monitor and ensure SSL certificates related to email services and collaboration platforms are up-to-date and properly configured. ? Perform regular penetration testing and vulnerability assessments to identify and remediate risks in the messaging and collaboration infrastructure. ? Other duties as assigned.
Minimum Qualification
? Bachelor's Degree in IT related field. ? 3 years of relevant experience in M365 administration, email security, or enterprise collaboration platforms.
Preferred Qualification
? In-depth knowledge of Microsoft 365 services including Exchange Online, SharePoint Online, Teams, OneDrive, and related collaboration tools. ? Expertise in configuring, managing, and troubleshooting hybrid and cloud-based email systems. ? Strong understanding of email security protocols such as SPF, DKIM, and DMARC. ? Experience with secure email gateways (FortiMail, Proofpoint, Mimecast, or similar). ? Knowledge of anti-spam and anti-phishing strategies, email encryption, and secure email routing. ? Basic understanding of DNS, SMTP, SSL/TLS, and related technologies supporting email and collaboration systems. ? Experience with Microsoft Azure Active Directory, conditional access policies, and multifactor authentication (MFA). ? Familiarity with monitoring tools to ensure system health, performance, and compliance (e.g., Microsoft Purview, Azure Monitor). ? Ability to analyze and resolve complex technical issues related to email systems and collaboration tools. ? Proficiency in writing and executing PowerShell scripts for automation and system administration tasks. ? Good communication and report writing skills. ? Ability to work under pressure in a fast-paced work environment. ? Ability to work flexible hours including evenings, weekends, holidays and overtime as required. ? 24x7 available on call in case of critical services unavailability.
