The Student Engagement Assistant Officer will play a crucial role in supporting the administrative and technical functions of the Student Engagement and Leadership Department (SELD). He/she will be responsible in coordinating and implementing the department's document control efforts by managing documents in an organized and systematic manner. He/she will support SELD in the upkeep and advancement of its online platforms mainly the Engage student engagement system and the SELD SharePoint site in addition to maintaining the department's online media gallery and web pages in the AUS website. He/she will work in enhancing the department's internal processes by finding ways to streamline workflows. He/she will provide support in administering the Student Center activity spaces by allocating areas for student events and providing logistical support for major student events that require more resources and close coordination with other university units.Job Responsibilities
Daily record keeping and control of financial documents and ensuring their secured storage in the department's SharePoint site.
Monitoring of club expenditures and constant follow-up for the timely submission of club Post Event Budget Reports.
Review and ensure accuracy of Post Event Budget Reports and other financial supporting documents.
Ensure that all financial transactions of the department are supported with proper documentation in line with university policies and for audit compliance. These include documentation for cash advances, reimbursements, business travel expense reports and other similar documents.
Serve as a secondary system administrator of the Engage online student engagement platform. Create processes, maintain the system, troubleshooting/technical support and generate data reports periodically.
Regular upkeep of the Engage platform by ensuring the proper status of student organizations are reflected, roster of organizations is current and all processes are running glitch-free.
Utilize the department's SharePoint site to centralize team projects and collaborative efforts.
Optimize the use of the department's SharePoint site and develop it to become a central repository of departmental documents and media and promote its use a platform for team collaboration and engagement.
Regularly organize the department's media gallery and create a media collection that can be used for publications, presentations and video productions.
Provide support in the operation of the Student Center including the management and upkeep of facilities and spaces. Administer the online room reservation system for Student Center spaces.
Provide support in the procurement of SELD's major requirements.
Liaise and coordinate between the Student Clubs and Organizations team and the Student Center operations team to provide logistical support to student events and activities.
Maintain the SELD web pages in the AUS website and perform content updates when necessary.
Recommend procedural and policy updates that will enhance the department's workflows and to ensure that processes are backed by policies.
Assist in general office duties and various administrative tasks.
Perform additional duties as maybe required by the SELD Director from time to time.
Qualifications and Skills Required
Bachelor's degree in a related field or equivalent work experience
Strong organizational and multitasking skills
Excellent written and verbal English communication skills
Detail-oriented with a high level of accuracy in managing records and information.
Technically adept with excellent computer skills in Microsoft Excel, Adobe applications, student engagement platforms and web-based applications.
Be able to work under pressure, during late hours and on weekends whenever required. Flexible in work schedule and assignments.
Ability to work independently and as part of a team.
Previous experience in event planning or student affairs is preferred.
