1. Inventory Management:
• Maintain accurate records of all inventory, including parts, tools, equipment, and consumables.
• Regularly update inventory management software with incoming and outgoing stock.
• Conduct regular physical stock checks and reconcile with system records.
• Monitor stock levels and reorder items as needed to prevent shortages and avoid overstocking.
2. Receiving and Inspection:
• Receive incoming shipments of auto parts and supplies, verifying the quantity and quality of items against purchase orders and invoices.
• Inspect parts for any damages or discrepancies and coordinate with suppliers for returns or replacements if necessary.
• Ensure that received goods are properly labeled and stored in designated locations.
3. Storage and Organization:
• Organize the storage area to ensure easy access and retrieval of parts.
• Implement and maintain an efficient system for storing items based on categories, frequency of use, or specific vehicle requirements.
• Maintain a clean and safe storage environment, following safety protocols to avoid accidents and damage to parts.
4. Issuing Parts and Tools:
• Issue parts and tools to technicians as per their job cards or work orders.
• Record all issued items accurately to maintain an up-to-date stock ledger.
• Track the return of tools and unused parts from technicians to maintain accountability.
5. Order Processing:
• Process purchase orders for replenishment of stock, collaborating with suppliers and procurement teams.
• Track orders to ensure timely delivery and follow up with suppliers for any delays.
• Negotiate with suppliers for the best pricing, quality, and delivery terms.
6. Cost Control:
• Monitor and control inventory costs by minimizing waste, identifying obsolete stock, and optimizing stock turnover.
• Prepare reports on inventory levels, cost analysis, and stock movement for management review.
• Implement strategies to reduce stock holding costs and improve overall inventory efficiency.
7. Coordination with Other Departments:
• Work closely with the service team to ensure that parts are available as needed for vehicle maintenance and repairs.
• Communicate with the procurement team for better stock management and timely ordering.
• Assist in planning and forecasting inventory requirements based on sales and service trends.
8. Data Entry and Record Keeping:
• Maintain accurate records of inventory transactions, including receipts, issues, adjustments, and transfers.
• Generate daily, weekly, and monthly inventory reports.
• Ensure proper documentation for audit purposes, keeping records of supplier invoices, purchase orders, and delivery notes.
9. Safety and Compliance:
• Adhere to safety standards and guidelines when handling hazardous materials or chemicals.
• Ensure compliance with company policies, local regulations, and environmental standards.
• Conduct regular safety checks of the storage area and inventory handling equipment like forklifts or lifting devices.
10. Customer Service:
• Provide accurate information to the service team about the availability and pricing of parts.
• Address any queries or concerns related to stock availability or delivery times promptly.
• Maintain good relationships with vendors and customers to ensure smooth operations.
11. Loss Prevention:
• Implement procedures to prevent theft, loss, or damage of inventory.
