This role involves overseeing the storage, maintenance, and distribution of hotel supplies, while also ensuring compliance with ID verification when receiving deliveries. The ideal candidate will have previous experience in hotel operations and be familiar with inventory management software.
Responsibilities:
Inventory Management for Hotel Supplies:
Oversee the receipt, storage, and organization of hotel supplies, including linens, toiletries, cleaning materials, food and beverage items, and maintenance equipment.
Maintain an organized and efficient stockroom for easy access to hotel materials.
Regularly check inventory levels and track stock to avoid shortages and overstock situations.
Ensure the hotel is always well-stocked with necessary supplies to maintain smooth operations.
ID Verification for Deliveries:
Verify the identity of delivery personnel and suppliers by checking government-issued IDs upon their arrival.
Ensure that all incoming goods are only accepted from authorized personnel and that all paperwork is in order.
Follow hotel protocols for managing sensitive or restricted items, including proper documentation for high-value goods.
Use of Inventory Management Software:
Use
hotel management software
(such as
Opera
,
RMS
, or other inventory systems) to track stock levels, place orders, and manage supplies.
Accurately enter received goods and updates into the software to maintain accurate records of stock movements.
Generate reports for management regarding stock levels, stock turnover, and upcoming supply needs.
Receiving and Inspecting Goods:
Receive and inspect deliveries for accuracy and quality. Ensure that items match the order and are in good condition before accepting them into the hotel's inventory.
Keep a record of all goods received, including date, supplier, quantity, and condition of the items.
Notify relevant departments (Housekeeping, Food & Beverage, Maintenance) when stock items arrive.
Stock Control and Organization:
Implement proper stock rotation to ensure the use of older stock before newer stock (FIFO - First In, First Out).
Organize the stockroom, ensuring that items are easily accessible and clearly labeled for quick retrieval.
Manage the space effectively to accommodate different types of supplies (e.g., cleaning products, food, linens, maintenance materials).
Maintain Cleanliness and Safety Standards:
Ensure that the storage areas are clean, safe, and comply with health and safety standards.
Adhere to hotel policies regarding the storage of hazardous materials and chemicals.
Supply Replenishment and Procurement:
Monitor stock levels and notify the purchasing department when orders need to be placed for low-stock items.
Work with the purchasing team to ensure timely and cost-effective replenishment of supplies.
Coordination with Other Hotel Departments:
Work closely with other hotel departments (Housekeeping, Food & Beverage, Maintenance) to ensure they have the supplies needed for daily operations.
Assist with special event setups or other hotel requirements that need additional materials or equipment.
Record Keeping and Reporting:
Maintain accurate records of all incoming and outgoing stock.
Create and submit inventory reports to hotel management, highlighting any discrepancies or areas requiring attention.
Qualifications:
Previous experience as a storekeeper or in a similar role, preferably in the
hotel industry
.
Familiarity with hotel inventory management systems (IDS) or other inventory systems).
Strong organizational skills and the ability to manage multiple tasks simultaneously.
Knowledge of
IDS
processes, particularly when handling high-value items or deliveries.
Attention to detail and accuracy in managing hotel supplies.
Ability to lift and move heavy materials when necessary.
Strong communication skills and ability to work with multiple departments.
Preferred Skills:
Knowledge of hotel operations, including housekeeping and food & beverage inventory management.
Ability to work under pressure, especially during peak hotel seasons.
Previous experience with
hotel management software
and inventory control systems.
Ability to work as part of a team and contribute to the smooth operation of the hotel.
