Job Title: Site Administrator Department: Operations Reporting To: Site Manager Site: ES1147 JOB PURPOSE:
The Site Admin is responsible for helping the FM team manage the MEP and CIVIL services and shall ensure support for the core business of the Gulf Data Hub organization. The admin shall assist the FM team in maintaining input of records with respect to maintenance schedules and records maintenance. The admin is involved in strategic planning and day-to-day operations, particularly regarding information and records maintenance related to Maintenance, Staff records, and service records. Assist in maintaining best business practices and improve overall efficiency by reducing operating costs while increasing productivity. Record and maintain the documents library through a Document Controller (or Office assistant). KEY RESPONSIBILITIES:
Maintenance and upkeep of Smart O&M. Maintenance and upkeep of all PPM, RM, CM information with assistance from DC services. Coordinate with DC Management Team to ensure seamless flow of information and records on a daily/weekly/monthly basis. Manage procurement and logistics. Client and contract management. Staff Management, Supervision, and Procurement. Extract the monthly planner and submit for operational approval. Develop, guide, direct, motivate and manage the performance of all direct and indirect reports to help realize their potential and enhance their knowledge-based skills. Manage the project in a professional manner to achieve a sustained positive image. Provide leadership, responsible for creating a customer-focused culture that is based on delivering results, transparency, and trust, whilst building organizational capability and empowerment. Assist FM in performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement. Operational:
Assist to develop, implement, and communicate improved processes, policies, and procedures on a continuous basis, always seeking greater efficiencies. Record and report PMs, planners, updated deferments. Create the shift roster to ensure 24/7 coverage is available on-site. Upon completion of WO activity and confirmation from Contract & DC Operations Manager, need to close work order in FSI. Maximize communication and synergy between the departments. Record MoM to organize and attend regular staff & customer meetings, using them as a basis for the development of consistent standards in quality working and behavior. Ensure the building meets health and safety requirements. Respond appropriately to emergencies as they arise. Further develop DRP and BCP. QHSE:

Research skills and the ability to draw information from various sources, including people. Clear and concise writing skills and the ability to handle long and complex documents. Flexibility and the ability to work on more than one task at a time. QUALIFICATIONS:
Bachelor's Degree in Commerce or General Administration. OTHER REQUIREMENTS:
2+ Years' experience as an administrator. Experience in monitoring and managing CAFM systems for MIS purposes. Need to be available 24x7x365, on call (if required). Maintaining audit records and follow-ups.
