Purpose To manage overall service operations continually driving service quality of resources & efficient services provided to ship-owners, charterers, ship masters, terminals, shippers, receivers, relevant authorities & service providers within designated ports within Oman geography. This role will report to the Ships Agency Operations Manager Oman.
What your role responsibilities will be: .Strategic
Oversees the establishment and implementation of Shipping Agency Operations policies, goals, objectives, and procedures.
Assists Shipping Agency Operations Manager in preparing the Targets and subsequently manage, monitor, and control the operation in line with WPS - Standard Operations Procedure (SOP) Operational
Provides input towards the development of policies and procedures pertaining to Ship agency operations.
Provides the necessary technical insight into the development and execution of initiatives and new operational projects.
Provides input to the SA process related to management of Cargo Operation, Husbandry Services.
Monitor and manage all the SA operation and ensure that Ships Agency performance and service quality is always conducted according to SOP and operating governances.
Responsible for the round the clock effective coordination of port calls, attend and ensure proactive, efficient, and timely operational communication always.
Administer effective coordination, among team, with suppliers and customers, and update stakeholders on regular basis to minimize any sort of delays, inconveniences, and interruptions to the services.
Routinely provides verbal and written reports to line Manager and WPS management team on SA operations.
Overall responsible for the port and site operations ensuring highest service quality including effective management of risks, revenues, and related margins.
Considering current business volume at Salalah, the position shall also support and attend the Port calls to Muscat / Sur / MAF in coordination with counterpart in Muscat office, for effective distribution of workload. This to be viewed dynamically on need basis and mutually agreed with liner manager.
Ensure Ships Agency operations are following WPS ESG policies, within assigned location/s, effective use of Take-5, E-Log, Power Bl, Salesforce & E-Learnings and improvement Potentials (IP) as appropriate.
Ensures sufficient resources (manpower, vehicles, IT equipment's, office facilities) are available at port location(s) with allocated budgets to carry out the planned SA operational activities.
Effectively manage and administer allocated resources for business operational continuity maintaining Stewardship values of the company.
Ensure sustained profitable port operations with persistent focus to increasing revenue, whilst driving efficiencies to control costs.
Overall responsible for supporting and ultimately driving the collection of receivables, correct amount of pre-funding or get approval for any deviations, prior to performing the port call, in line with the Chart of Authority.
Ensure DA preparation, DA finalization and Vessel related reports are within KPI time frame as set with SOP. Also Pro-actively follow-up on vendor / service provider invoices to support DA Team for DA File closures.
Support line manager, in the maters of supplier governance and Participate on selection of contractors, for goods and services provided to principals, including obtaining competitive quotations, as required in align with WPS supplier governance and Supplier code of conduct.
Ensure evaluation of vendors and suppliers are regularly conducted, in compliance with WPS supplier governance standards and in align with Suppler Management system.
Identify continuous improvement/opportunities by persistently searching for new ways of achieving port cost savings, including negotiating vendor discounts, on behalf of the principal.
Supervise, monitor and control the team and support HR and admin team for any matters associated with functionalities.
Control and maintain duty allocation / roaster / attendance of the team members, as required to have effective control.
Ensure onboarding and regular training is conducted for all the team members to ensure the team is abreast of new developments.
Attend and board vessels as required in accordance with SOP and Customer Requirements.
Ensure Cash-in-Transit (Cash to Master, Cash from Master) are addressed effectively with clear administrative control, monitoring and record keeping.
Establish and maintain vessel's files with all the information of service rendered, with necessary supportive documents for reference and record, and ensure that all transactional systems are updated within the SOP time frame.
Ensure In Country Value (ICV) and local talent improvement and career progression is focused.
Maintain and upkeep proper record of smart card use, petty cash use and all transaction are recorded and closed with adequate references and record. Business development
Ensure high level of customer satisfaction by building new relationships and maintaining existing ones.
Continuously Analyse and monitor competitors
Actively identify new business and sales opportunities in the territory/country
Work closely with line manager on Quality on business / market data analysis & reporting structure. People Management
Evaluates Team / subordinates' performance in a fair and transparent manner on a periodic basis.
Communicates relevant information to subordinates and superiors.
Quality Assures the work of Team members / subordinates.
Provides on-the-job training and coaching.
Qualifications
Maritime background and experience from Ships Agency Operations.
Min. 7 years of hand on supervisory experience in Agency Operations - Port Agency & Maritime Logistics
Computer literate with good communication skills and command of the in English language (oral and written).
Familiar with Port & local Authorities regulations, procedures and governing tariffs.
Ability to effectively plan & direct an operation without compromising on safety to personnel and vessel.
Ability to motivate team for customer and business development driven service approach Process and system understanding.
Ability multitask and organize under pressure without compromising safety of stakeholders involved.
Strong mentoring and customer relationship skills.
Self-motivated and result orientated with good awareness on cost control measures.
