SUMMARY OF FUNCTIONS:
To maintain, monitor & control all administrative and operational aspects of the Workshop with major emphasis on handling clients including preparing service orders, estimates & invoicing, parts & materials procurement & inventory control, team management & job control, process insurance related estimates, approvals & claims, etc.
MAJOR DUTIES AND RESPONSIBILITIES:
• Handle all clients courteously including receive & deliver their cars, open service orders, follow up & update progress, prepare & send estimates, invoice jobs promptiy, etc:
• Receive appointments & manage scheduling based on workshop capacity;
• Handle the workshop team & control the workflow in the workshop efficiently,
• Coordinate with the team for all parts & materials requirements & procure as needed;
• Prepare & place orders for stock & for dally requirements:
• Review inventory & maintain minimum materials quantities based on the stock movement to facilitate smooth operations. Verify received materials & update stocks in system.
• Assist the Accountant in verifying costs, prices and totals of work orders ad required;
• Assist the department in the administrative functions and handle paperwork such as receiving, filing, data entry, etc.
• Prepare and conduct physical inventories on a regular basis periodically, as required:
• Control all data entries, maintain records on workshop software, and generate reports as and when needed:
• Report all concerns related to the clients, start, workshop, parts, etc. to the Workshop Manager;
• Any other related work & duties as assigned by the Workshop Manager.
EXPERIENCE:
Proven experience in automotive service coordination or a similar role within the automotive industry.
EDUCATIONAL REQUIREMENTS:
High school diploma or equivalent; additional certifications in automotive services will be a plus.
KNOWLEDGE, SKILLS, & COMPETENCY:
Knowledge or office administration, basic procedures of accounting, data processing, record keeping techniques. Ability to operate necessary office equipment including PC (MS Office Application-Word, Excel, PowerPoint and internet), perform mathematical calculations quickly and accurately; excellent interpersonal and communication skills.

Pay: AED4,000.00 - AED6,000.00 per month
