:
Mission:
Manage Orders from registration to invoicing including supply chain management and logistics and cost allocation/control. Designing and implementing new processes that help the business by identifying efficiencies both domestically and globally, implementing procurement strategies and inventory management. Ensuring all relevant detailed information are correctly recorded to allow the accuracy of the Supply Chain reports. Key Responsibilities: A) Review Customer's Purchase Order and validate the following information: • Installed Products are eligible for services and correct.
• Bill to Accounts and Installed at accounts are correct and active and payment condition (monthly, quarterly).
• PO validation process is followed prior to order booking. (Pricing on Customer's Purchase Order match Customer's Price list or Service Quote, QLK approved with right approvers, PO booking checklist is completed, credit and risk review).
• Order intake reporting and backlog review.
B) Bill Plan & Invoice: • Enter and book Service Orders and Service Contracts in ERP.
• Ensure all contract information are transferred to BFS.
• Ensure the right gross margin is captured in ERP as per QLK.
• Set appropriate billing plan in the ERP to ensure proper invoice generation.
• In case of request for cancellation: inform Service Execution team and Terminate Service Orders and Contracts.
• Financial management of agreed payment terms and security of payment to ensure seamless cash flow and timely payment linked to timely management of invoicing and acknowledgement of customers.
• Issue a credit request if needed.
• Ensure accurate and timely invoice to customer.
• Invoice dispatch & POD follow-up.
C) Supply Chain - PO Placement & Follow up: • Prepare and Process all Intra group, Outside group, EDI procurement request for Gulf Services operations in line with the project requirements & supplier offer via BFO Case and periodically update them based on the PO progress.
• Follow-up and escalate via CR process to ensure on-time delivery to meet project delivery plan and customer commitments.
• Maintain Close coordination with FS GSC team, SIOP leaders, Back Office, Factories to escalate critical orders for Field Services to achieve Quarterly Sales forecast.
• Establish and monitor specific supply chain-based performance measurement systems of OG, IG, EDI procurement & identified key performance indicators (KPI) and established targets for monthly Supply chain report for gulf field services. Reducing shipment times by creating logistics report to identify delayed customer orders.
• Progressively update project managers on the order delivery status on BFO cases & SAP.
• Prepare Weekly of BOL & OTDFS performance and update new committed dates for late orders in the ERP system.
• Follow procurement process meeting the business KPI's with no deviations & Maintain procurement metrics, reports, process documentation.
• Resolve GR/IR Disputes under RSO Que and ensure all Supplier invoices are reviewed and processed for GRN on timely manner.
• Build strong collaboration between all internal and external stakeholders associated with procurement and warehouse process.
• Export / Import control - Knowledgeable of Incoterms & logistic process.
• Prepare, evaluate, and monitor the risk assessment for warehouse operation.
• Prepare Inbound & Outbound delivery and maintain traceability of the shipments.
Qualifications:
• Education University Degree in Supply Chain & Trade / Any Bachelor's degree with Supply Chain Experience.
• 5-7 Years of Experience
• Strong knowledge of supply chain management & procurement.
• Strong Experience of working in SAP CS & MM Module.
• Solid knowledge of customs laws and regulations for the countries under scope.
• Hands on experience in MS Office (Mainly MS Excel & MS PowerPoint).
• Good knowledge on BFO case Management & I2P process.
• Good knowledge of SE systems and processes.
• Multi-tasking and team player.
• Takes initiative and problem solver.
