Responsibilities: Administrative Support: Provide high-level administrative support to senior executives, including calendar management, scheduling meetings, and arranging travel itineraries. Prepare, proofread, and edit correspondence, reports, and other documents. Handle incoming calls, emails, and queries, directing them as appropriate. Maintain and organize filing systems, both digital and physical. Meeting Coordination: Arrange, coordinate, and sometimes take minutes during meetings and conferences. Prepare agendas, gather relevant documents, and distribute materials to meeting attendees. Communication: Serve as the point of contact for internal and external stakeholders. Draft and send formal communication on behalf of senior management. Handle confidential and sensitive information with discretion. Office Management: Oversee office supplies, equipment, and maintenance schedules. Ensure smooth day-to-day operations of the office. Manage and track budget-related expenses for office operations. Event Coordination: Plan and coordinate company events, meetings, conferences, and travel arrangements. Assist with logistics for corporate functions and staff events. Project Assistance: Support various projects, providing research, administrative assistance, and tracking deadlines and deliverables. Supervising Junior Staff (if applicable): Supervise and mentor junior secretarial staff. Provide training or guidance to new administrative team members. Other Duties: Perform any other duties as assigned by the executive team. Required Skills and Qualifications: Proven experience as a secretary or in an administrative role, preferably at a senior level. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Discretion and confidentiality when handling sensitive information. Proficiency in office software such as Microsoft Office Suite or Google Workspace. Strong attention to detail and problem-solving skills. Ability to work under pressure and meet deadlines. Desired Skills: Experience with project management tools and software. Knowledge of basic accounting or budget management. Prior experience in an executive or high-level administrative position.
