Job Title : Senior Real Estate Administrative

Reports To : Office Manager/Team Leader

Job Summary : The Real Estate Administrative Assistant provides administrative support to ensure efficient operation of the office. This role involves assisting real estate agents, brokers, and other staff members through a variety of tasks related to organization and communication.

Key Responsibilities :

• Administrative Support :
• Answer and direct phone calls.
• Organize and schedule appointments.
• Plan meetings and take detailed minutes.
• Write and distribute email, correspondence memos, letters, faxes, and forms.
• Office Coordination :
• Develop and maintain a filing system.
• Order office supplies and research new deals and suppliers.
• Maintain contact lists.
• Client Relations :
• Provide general support to visitors.
• Act as the point of contact for internal and external clients.
• Document Preparation and Management :
• Prepare and distribute marketing materials.
• Assist in the preparation of regularly scheduled reports.
• Develop and maintain databases.
• Handle sensitive information in a confidential manner.
• Transaction Coordination :
• Manage real estate transaction documents and ensure compliance.
• Coordinate closing processes and follow up with all parties involved.
• Assist in drafting and finalizing real estate contracts and agreements.
• Marketing and Social Media :
• Assist with managing social media accounts and posting updates.
• Help create and manage marketing campaigns.
• Maintain the company's website and update listings.
• Support for Real Estate Agents :
• Provide administrative support to real estate agents.
• Coordinate open houses and property showings.
• Assist agents with client communication and scheduling.

Qualifications :

• Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
• Knowledge of office management systems and procedures.
• Working knowledge of office equipment, like printers and fax machines.
• Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
• Excellent time management skills and the ability to prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Strong organizational skills with the ability to multi-task.
• High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
• Familiarity with real estate software and tools (e.g., MLS, CRM systems) is a plus.

Job Types: Full-time, Permanent

Pay: Up to AED4,500.00 per month
