Job Description

:Performs a wide variety of complex responsible office functions in support of a department.Responsibilities:
  • Performs highly responsible office functions; assists in arranging and coordinating department activities.
  • Establishes and maintains records, filing systems, and logs.
  • Reserves meeting sites; contacts and confirms appointments and meetings; attends meetings and takes minutes in the absence of the Quality Coordinator.
  • Operates a computer, duplicating machine, fax machine, calculator, and other peripheral office equipment in the course of assigned functions.
  • Utilizes a variety of word-processing, graphic/presentation, and database software applications programs.
  • Types, edits, and distributes a variety of correspondence, forms, and policies and procedures.
  • Participates effectively in implementing and following up on Quality Improvement (Q.I.) activities.
  • Communicates appropriate information from studies and data sources to the Heads of the Department.
  • Assists the Head of Department (HOD) in maintaining all necessary records pertinent to the JCI process.
  • Assists in facilitating JCIA meetings.
  • Assists the HOD in maintaining records of policies, procedures, guidelines, forms, and other documents, ensuring the circulation of current documents and the de-circulation of expired documents.
  • Performs miscellaneous related duties as requested by the HOD.
  • Complies with all Occupational Safety and Health (OSH) and infection control policies, standards, and procedures and cooperates with hospital management to meet these requirements.
  • Works in accordance with documented OSH procedures and instructions, including specific responsibilities.
  • Is familiar with emergency and evacuation procedures.
  • Notifies OSH hazards, incidents, near misses, and issues, and assists with the preparation of risk assessments and incident reports.
  • Complies with waste management procedures and policies.
  • Attends applicable OSH/infection control training programs, mock drills, and awareness programs.
  • Uses appropriate personal protective equipment and safety systems.
  • Develops, monitors, and supports the implementation of the hospital OSHMS in line with HAAD Health Sector OSHMS policies and standards (and other policies and standards as applicable) and entity requirements.
  • Supports the development of objectives and monitors the achievement of objectives and compliance with HAAD Health Sector OSHMS requirements across all departments.
  • Reports and provides guidance to the entity OSH Committee, the Prevention and Control of Infection, and the Quality Improvement and Patient Safety Committee in developing programs and policies for implementing and monitoring applicable OSHMS and infection control and patient safety standards.
  • Conducts or participates in incident and outbreak investigations as applicable.
  • Helps and assists in JAWDA KPIs, audits, accreditations, certifications, and preparing reports.
Qualifications:
  • Graduate of a Secretarial Course or its equivalent.
  • Six months or more in a healthcare setup.
  • Excellent command of oral and written English; Arabic language is desirable but not essential.
  • Responsibility for own continued professional growth beyond minimum preparation.
  • Must be well-versed with Word and Excel.
