The Role
: The Personal Assistant to the CEO and Chairman will provide high-level administrative support to the companyxe2x80x99s CEO and Chairman. This role requires discretion, attention to detail, the ability to meet tight deadlines, and impeccable organizational skills. Key Responsibilities: xe2x80xa2 Manage and maintain schedule, appointments and travel arrangements xe2x80xa2 Act as the point of contact between the internal/external clients xe2x80xa2 Verification of documents and cheques prior to management signatures xe2x80xa2 Handle confidential documents ensuring they remain secure xe2x80xa2 Prepare and edit correspondence, communications, presentations and other documents xe2x80xa2 Manage and organize meetings and events xe2x80xa2 Record, transcribe, and distribute minutes of meetings xe2x80xa2 Monitor, screen, respond to and distribute incoming communications xe2x80xa2 Liaise with internal staff at all levels xe2x80xa2 Interact with external clients and stakeholders xe2x80xa2 Coordinate project-based work xe2x80xa2 Managing monthly claim expenses xe2x80xa2 Timely payment of monthly credit cards, utility and mobile bills xe2x80xa2 Maintenance of the cars, renewal, fines, services etc xe2x80xa2 Managing account balance and online banking transfers xe2x80xa2 Handle medical insurance, claims and appointments xe2x80xa2 Managing office expense and petty cash xe2x80xa2 Tenant coordination, tenancy renewal, leasing, property management, maintenance, etc xe2x80xa2 Managing and coordination documentation with banks xe2x80xa2 Organizing Electronic and hard copy filing xe2x80xa2 Coordination and documentation for all administration and lease agreements xe2x80xa2 Coordination with Accounts team for Vendorxe2x80x99s payment confirmation xe2x80xa2 Managing Office Maintenance, Vendors coordination, Contract management and timely contracts renewal. xe2x80xa2 HR support as needed, Recruiting, Onboarding, Offer letters, Salary certificates, fostering a safe environment, managing employeesxe2x80x99 relations, administering payroll, managing compensation and benefit packages, handling disciplinary needs, ensuring compliance with labour laws and regulationsRequirements
  • Proven experience as a personal assistant or similar role xe2x80xa2 Knowledge of office management systems and procedures xe2x80xa2 Outstanding organizational and time management abilities xe2x80xa2 Ability to multitask and prioritize daily workload xe2x80xa2 Excellent verbal and written communications skills xe2x80xa2 Discretion and confidentiality xe2x80xa2 High School degree; additional qualification as a personal assistant or secretary will be a plus Technical Skills: xe2x80xa2 Proficiency in MS Office and other office productivity tools xe2x80xa2 Familiarity with email scheduling tools xe2x80xa2 Comfortable with fast-paced and varied computer work Personal Attributes: xe2x80xa2 Good communication xe2x80xa2 Organized xe2x80xa2 Efficient Time management xe2x80xa2 Honest xe2x80xa2 Proactive problem solver xe2x80xa2 Attentive to details xe2x80xa2 Flexible and adaptable xe2x80xa2 Professional discretion xe2x80xa2 High emotional intelligence
