Job Summary:



The Senior Operations and Vehicle Coordinator is responsible for overseeing and managing the day-to-day operations of a driving school, with a primary focus on coordinating vehicle maintenance, scheduling, and compliance, while ensuring the smooth running of all administrative processes. This senior role combines leadership, strategic planning, and operational management to optimize the training environment and maintain the vehicle fleet.

Key Responsibilities:



Leadership & Supervision:

Oversee the operational activities of the office, managing and guiding junior staff to ensure efficient office functions and effective resource management.

Vehicle Fleet Management:

Take full responsibility for the management and tracking of the training fleet, including vehicle registration, maintenance, insurance, and ensuring all vehicles meet safety standards.

Vehicle Maintenance & Repairs:

Lead the coordination of routine vehicle maintenance, repairs, and inspections. Establish and maintain strong relationships with mechanics and external service providers.

Scheduling & Resource Allocation:

Coordinate the scheduling of training vehicles and driving lessons, ensuring vehicles are allocated to instructors and students based on availability and requirements.

Instructor Scheduling & Support:

Oversee the allocation and scheduling of driving instructors, ensuring instructors have the necessary resources, including vehicles and documentation, to conduct lessons effectively.

Compliance & Safety Standards:

Ensure all vehicles and instructors comply with local regulations, safety standards, and licensing requirements. Monitor and manage vehicle inspections, certifications, and renewals.

Operational Efficiency:

Identify and implement process improvements to optimize vehicle usage, lesson scheduling, and overall operational efficiency.

Documentation & Reporting:

Maintain detailed and accurate records for all vehicles, lessons, and instructor certifications. Prepare regular reports on vehicle usage, maintenance, and instructor schedules for senior management.

Instructor Training & Development:

Oversee and support the ongoing training and certification of driving instructors to ensure compliance with industry standards and regulatory changes.

Customer Service & Problem Resolution:

Serve as the primary point of contact for resolving any issues or conflicts related to vehicle usage, scheduling, or instructor availability. Ensure prompt and effective communication with instructors, students, and vendors.

Budget Oversight:

Assist in managing the budget for vehicle maintenance, repairs, and other operational expenses, ensuring cost-effective solutions without compromising on quality or safety.

Safety & Risk Management:

Lead safety briefings for instructors and students, ensuring that all driving practices are in line with current safety regulations and best practices.

Qualifications:



Experience:

Minimum of 3-5 years of experience in office coordination, operations management, or vehicle fleet management, preferably in a driving school or similar setting.

Leadership Skills:

Proven experience in leading and supervising a team, with the ability to motivate staff and manage operations at a senior level.

Organizational Skills:

Exceptional organizational and multitasking abilities, with a keen attention to detail and the ability to prioritize tasks effectively.
