Position: Senior Office Administrator
Experience: 10+ years

Key Responsibilities
Administrative Management:
Oversee and manage day-to-day office operations to ensure smooth workflow.
Develop and implement office policies and procedures to improve efficiency.
Coordinate with various departments to facilitate seamless communication.
Insurance Management:
Manage all aspects of project insurance, including Contractors All Risk (CAR), property insurance, and other relevant policies.
Liaise with insurance companies and brokers to secure and maintain appropriate coverage.
Handle claims processes, including documentation, coordination, and follow-ups.
Financial Operations:
Handle office cash flow and petty cash management, ensuring accurate records and reconciliation.
Assist in preparing budgets and monitoring office expenses.
Maintain financial records for audit and compliance purposes.
Document Control:
Maintain and organize project-related and office documentation, ensuring accessibility and confidentiality.
Ensure timely renewal and compliance with licenses, contracts, and agreements.
Coordination & Communication:
Act as a point of contact between senior management, staff, and external stakeholders.
Organize and facilitate meetings, preparing agendas and minutes.
Support HR functions, including onboarding, maintaining employee records, and ensuring policy compliance.
Office Supplies & Equipment:
Manage inventory of office supplies and equipment maintenance.
Negotiate with vendors to ensure cost-effective procurement.
Compliance & Safety:
Ensure adherence to legal and regulatory requirements relevant to the construction industry.
Support the implementation of safety and compliance initiatives across the office and projects.
Qualifications and Skills
Education: Bachelor's degree in business administration or a related field.
Experience: Minimum of 10 years in an administrative role within the construction industry.
Technical Skills:
Proficiency in Microsoft Office Suite and office management tools.
Familiarity with insurance policies like CAR, property insurance, and related claims processes.
Soft Skills:
Strong organizational and multitasking abilities.
Excellent communication and interpersonal skills.
Attention to detail and problem-solving capabilities.
Preferred Knowledge:
Experience with project documentation and construction compliance.
Knowledge of basic accounting and financial management principles.
Understanding of local insurance regulations and practices.
Work Environment
Based in the head office, with occasional visits to construction sites if required.
Role may involve extended hours during peak project periods.
