General Description:
The Senior Administrative Assistant will be responsible for providing support to the MENA functional team of BeiGene. Key focus on purchasing processes, contracting, vendor management, event support, team support, support in development of materials and local internal local /(external) communication assistance. Office management including office supplies, stationeries and
required bills.
Education Required:
Relevant degree or professional training in business administration, advanced computer skills required. 5+ years of experience providing administrative support.
Essential Functions of the job:
General Administration
Provide general administrative/project support to the BeiGene MENA team.
Conduct clerical duties, including filing, answering phone calls, responding to emails, and preparing documents.
Organize mail, couriers.
Support in organization of internal meetings and such with HCPs and partners, including catering.
Support in management relationships with vendors, service providers, Vendor on-boarding, contract management and raising POs.
Assistant support in cooperation with 3rd parties.
Assist with travel arrangements for the leadership as back up.
Support in management of local opex: raising PO and tracking of opex.
Assist in on-boarding plan for new hires.
Attend and prepare for the meetings and take meeting minutes.
Manage office expenses and supplies.
Business Support:
Support in external live and digital events (congresses, workshops etc) in cooperation with local team and /or agencies.
Assistant support in cooperation with HCPs.
Support in preparation of materials according to needs of the concerned team.
Support in internal material approval and documentation process.
Support in congress/conference planning and administration.
Be familiar with BeiGene systems (SAP/ARIBA/etc) and approval flows.
Communication:
Supporting in communication projects and production of communication campaigns
Compliance:
Support in structuring and managing processes and regulations ie Support for compliance activities as local declaration/authorization, participation to legal review of agreements with healthcare professionals, hospitals, organizations, etc., participation to Personal data protection implementation.
Be familiar with the local pharma/compliance/health authorities codes as required.
Experience:
Existing experience in administrative role within other biotech/pharmaceutical companies.
Awareness of pharmaceutical industry codes, policies, and local regulations.
Regional experience is required i.e., has a solid experience in GCC countries.
Excellent command of Microsoft applications.
