Role Summary: As a Secretary at Blacksmith Coffee Company, you will play a crucial role in optimizing the efficiency and effectiveness of our organization. You will provide administrative support to our executives and team members, helping to streamline operations and maintain a smooth workflow. In this position, you will be the hub of communication and coordination, ensuring that all administrative tasks and operational processes run seamlessly. Responsibilities:
  • Manage and maintain accurate records, including scheduling appointments, maintaining calendars, and coordinating meetings.
  • Prepare and disseminate important documents, reports, and presentations, while ensuring their accuracy and confidentiality.
  • Serve as the primary point of contact for internal and external stakeholders, answering and directing incoming calls and emails promptly and professionally.
  • Organize and make travel arrangements for executives, including flights, accommodations, and transportation.
  • Coordinate and support the planning and execution of company events and meetings.
  • Provide general administrative support, including filing, data entry, and document management.
Qualifications:
  • Proven experience as a secretary or administrative assistant, preferably in a fast-paced environment (F&B Industry).
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy, ensuring that all administrative processes are completed with utmost precision.
  • Quickbooks Experience
  • Exceptional written and verbal communication skills.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  • Strong interpersonal skills, with the ability to build effective relationships with team members and stakeholders at all levels.
  • Discretion and integrity in handling sensitive and confidential information.
