Office Administration
• Act as the first point of contact for visitors and clients, ensuring a positive experience
• Welcome and accompany the visitors, ensure prompt food and beverage service
• Screen incoming mails and calls, action responses, re-direct correspondence and ensure all mail is processed in an accurate and timely manner
• Oversee office operations and manage day-to-day tasks, ensuring the office environment remains organized and efficient
• Handle office supplies and inventory management, ensuring supplies are ordered and maintained
• Ensure the office is compliant with health and safety regulations
• Manage office expenses and ensure figures are accurately recorded. Control and handle cash transactions to bring accounts to balance
Business Performance
• Manage executive's calendar and schedule appointments and meetings
• Manage and maintain positive relationships with all stakeholders, including suppliers and external partners
• Participate in regular team meetings to discuss business performance and development strategies
• Provide support to the managers and/or department(s) in any other tasks related to business performance and development
• Assist in the preparation and organization of reports, and presentations
• Coordinate travel arrangements, accommodations, and logistics for internal and external stakeholders
• Maintain and update filing systems, both digital and physical
• Participate in supervising specific projects, when required
• Liaise with all departments to ensure a smooth flow of communication and compliance with established policies
• Support with administration, co-ordination and logistics for trainings and internal events
Operational Excellence
• Stay up-to-date and ensure full compliance with AP company policies and internal procedures in regards to IT tools, security, retail operations, administration and data protection regulations
• Adhere to AP Grooming Guidelines, and ensure your behaviors are aligned with the group standards ensuring you are role models in the Luxury industry
• Work closely with the rest of the team to ensure that all operational tasks are completed on time and to a high standard
•Ensure that all actions, transactions, and decisions are in line with AP company practices and legal requirements. Work with transparency, integrity and respect for people and company property. Take accountability for all your actions.•
Qualifications
• UAE National
• Demonstrated professional experience of 3+ years as an executive secretary or in a comparable role
• Bachelor's degree in a relevant field
• Superior written and verbal English communication skills; proficiency in Arabic is advantageous
• Exceptional organizational and time-management capabilities
• Meticulous attention to detail
• Capacity to perform effectively under high-pressure situations
• Strong analytical abilities and adept problem-solving skills
• Demonstrated ability to adapt to changing priorities and meet stringent deadlines
• Exemplary level of professionalism, integrity, and discretion
• Advanced proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook) and competence in utilizing various business software applications
