Position Overview:
The Secretary provides administrative and clerical support to ensure the efficient operation of the office. This role requires excellent organizational skills, effective communication, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
1. Administrative Support:
• Manage schedules, appointments, and meetings for management and team members.
• Prepare, organize, and maintain office documentation, including reports, memos, and correspondence.
2. Communication:
• Act as the primary point of contact for internal and external communication.
• Answer phone calls, emails, and other inquiries promptly and professionally.
3. Coordination:
• Organize and coordinate meetings, including preparing agendas, taking minutes, and distributing follow-up tasks.
• Arrange travel and accommodations as required.
4. Office Management:
• Ensure the office is well-maintained and stocked with necessary supplies.
• Oversee the proper use and maintenance of office equipment.
5. Recordkeeping:
• Maintain accurate and up-to-date records, both physical and digital.
• Handle confidential information with discretion and professionalism.
Requirements:
• Proven experience in an administrative or secretarial role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong written and verbal communication skills.
• Excellent organizational and multitasking abilities.
• High level of professionalism and confidentiality.
Preferred Qualifications:
• Certification in office administration or related field.
• Familiarity with scheduling and project management tools.
• Previous experience in a similar industry or setting.
