Job Description

Position Overview: We are seeking a highly organized and efficient Personal Assistant to provide comprehensive support to the Manager. This role requires a proactive individual with exceptional communication skills, the ability to multitask, and a keen attention to detail. The Personal Assistant will be responsible for managing the manager's schedule, coordinating administrative tasks, and ensuring smooth day-to-day operations.

Key Responsibilities:

• Calendar & Schedule Management:
• Manage the manager's calendar, scheduling appointments, meetings, and travel.
• Ensure the manager is well-prepared for meetings and events by organizing agendas, materials, and any necessary follow-ups.
• Prioritize and rearrange the schedule as necessary to accommodate urgent tasks.
• Communication:
• Act as the primary point of contact between the manager and internal/external stakeholders.
• Handle phone calls, emails, and other correspondence, ensuring timely responses and proper routing.
• Prepare and proofread communications on behalf of the manager.
• Administrative Support:
• Organize and maintain filing systems, both digital and physical.
• Coordinate and manage office supplies and ensure they are stocked appropriately.
• Prepare reports, presentations, and documents as needed.
• Travel and Logistics:
• Arrange domestic and international travel for the manager, including transportation, accommodation, and itinerary planning.
• Ensure travel-related documents (flights, itineraries, etc.) are prepared and organized in advance.
• Event Planning & Coordination:
• Assist with the planning and execution of meetings, conferences, and events.
• Coordinate logistics for events, including venue selection, catering, and guest lists.
• Task Management & Prioritization:
• Help manage the manager's to-do list and ensure tasks are completed on time.
• Monitor deadlines and provide reminders for upcoming deadlines or important events.
• Confidentiality & Discretion:
• Handle sensitive information with the utmost confidentiality and discretion.
• Exercise judgment in decision-making and maintain a high level of professionalism.

Qualifications:

• Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
• Strong organizational and time management skills.
• Excellent communication skills, both written and verbal.
• Proficiency in Microsoft Office Suite and other office management tools.
• Ability to prioritize tasks and work well under pressure.
• A proactive, resourceful, and adaptable mindset.
• Discretion and confidentiality in handling sensitive information.

Education & Experience:

• High school diploma or equivalent required; a degree in business administration or related field is a plus.
• At least 2-3 years of experience in an administrative or assistant role.
