Manage the Department Heads schedule, including meetings, appointments, and travel arrangements.
Draft and prepare memos, letters, emails, reports, and presentations.
Handle incoming calls, emails, and correspondence, redirecting or escalating as necessary.
Maintain and update department files (electronic and paper-based) for accurate record-keeping.
Handle confidential documents with discretion and ensure secure filing.
Meeting and Event Coordination
Schedule, organize, and coordinate departmental meetings, conferences, and events.
Prepare agendas, take meeting minutes, and follow up on action items.
Arrange logistics, such as room bookings, refreshments, and materials for meetings or events.
Communication and Coordination
Act as a point of contact for internal and external communications.
Distribute announcements, memos, and reports to relevant stakeholders.
Maintain professional communication and build positive relationships within and outside the department.
Office Management
Monitor and replenish office supplies, ensuring the department is well-stocked.
Handle procurement requests and liaise with vendors for equipment and services.
Organize travel arrangements, including flights, accommodations, and transportation for team members.
Data and Reporting
Input and manage data in departmental systems, ensuring accuracy and completeness.
Generate routine reports on tasks, schedules, and operational metrics.
Assist with budget maintenance, including expense reports and petty cash handling.
General Support
Assist in coordinating department events, training sessions, and workshops.
Provide general administrative support to department staff as required.
QualificationsEducation: High School Diploma or equivalent (Bachelors degree in Business Administration or a related field preferred).Experience
2 to 4+ years in administrative or secretarial roles, preferably in a corporate environment.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office management software and databases (e.g., SharePoint, SAP).
