Hi, We are looking for a part time Secretary who can join our multi cultured, fast growing financial firm in Dubai, U.A.E Position: Secretary - part- time Location: Dubai, U.A.E Duties to handle:
To manage the front office activities
Serve our clients
Admin duties
Notify company personnel of visitor arrival
Maintain office and telecommunications system
Manage and oversee documentation.
To maintain records and oversee document control for business proposals.
Ensure the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed.
Daily scan and upload paper documents and organize them on a secure server.
Access specific files when requested by different departments as well as control the flow of documents in and out of the department.
Print and distribute documents as needed
Scan and upload documents according to company procedure.
Collect and register all technical documents such as all legal and business documents and agreements, contracts in the companys system
Review and update documents for maintenance and quality control
Keep other personnel updated on new document versions and how to obtain access
