Executive Secretary Your key responsibilities \xc2\xb7 Provide administrative support overseeing day to day activities: meetings, appointments, scheduling, coordination, and planning. \xc2\xb7 Reading, researching, and routing correspondence, drafting letters and documents and analyzing information, initiating telecommunications where applicable. \xc2\xb7 Organize and maintain files and databases in a confidential manner. \xc2\xb7 Manage communication including emails and phone calls. \xc2\xb7 Screen phone calls, redirect calls, take messages and maintain sufficient trackers and logs. \xc2\xb7 Maintain summary of calls/meetings as requested. \xc2\xb7 Schedule appointments, meetings, and reservations as needed. \xc2\xb7 Receive deliveries, sort and distribute incoming mail. \xc2\xb7 Maintain and order office supplies as well as maintain sufficient records. \xc2\xb7 Receive invoices and review for accuracy. \xc2\xb7 Communicate and coordinate with relevant internal and external stakeholders for various requirements and reporting as necessary. \xc2\xb7 Coordinate staff travel arrangements including transportation and accommodations. \xc2\xb7 Monitoring of office expenses, review and manage invoices and payments. Skills and attributes for success \xc2\xb7 Knowledge of clerical and administrative procedures. \xc2\xb7 Good communication, customer service and relationship-building skills. \xc2\xb7 Team working skills, Organization and time management skills. \xc2\xb7 Attention to detail, Negotiation skills. \xc2\xb7 Assertiveness, Flexibility. \xc2\xb7 Tact, discretion and diplomacy. To qualify for the Role, you must have \xc2\xb7 Graduation or Post Graduation qualification in administration. Having Secretarial program qualifications would be an added advantage. \xc2\xb7 5-6 years of Secretarial or Office Administration experience. \xc2\xb7 Proficient computer skills, including Microsoft Office and ERP systems. \xc2\xb7 Excellent verbal and written communication skills. \xc2\xb7 Good knowledge of administrative procedures. \xc2\xb7 Good communication, customer service and relationship-building skills. \xc2\xb7 Valid UAE Driving License with own vehicle would be an added advantage Job Type: Full-time Experience:
