1. Job Title



Personal Secretary cum Trade Finance Officer



2. Objective



To provide comprehensive administrative, financial, and trade-related support to the CEO, ensuring smooth business operations, regulatory compliance, and efficient coordination of trade and financial activities.

3. Key Responsibilities



Personal Secretary Duties



Manage and maintain the CEO's schedule, appointments, and travel arrangements. Handle correspondence, calls, and emails on behalf of the CEO. Organize and prepare reports, presentations, and documentation for meetings. Maintain confidentiality and discretion in handling sensitive business and personal matters. Coordinate with internal and external stakeholders for meetings, events, and project updates.

Trade Finance Responsibilities



Oversee trade documentation, including invoices, contracts, shipping documents, and customs clearance. Ensure compliance with local and international trade regulations. Assist in financial planning, budgeting, and forecasting for trade transactions. Manage financial records related to trade activities, ensuring accuracy and compliance. Coordinate with banks and financial institutions for trade financing, LC issuance, and fund management. Monitor and analyse financial performance metrics related to trade and investment.

4. Qualifications & Experience



Bachelor's degree in Business Administration, Finance, Accounting, or a related field. Minimum of 3-5 years of experience in a similar role, preferably in an international trade or finance environment. Strong organizational, communication, and multitasking skills. Knowledge of financial analysis, trade regulations, and documentation. Proficiency in Microsoft Office Suite (i.e. Word, Excel & PowerPoint) and financial software applications. Ability to handle confidential information with discretion.

Task Completion Rate:

Efficiency in handling administrative and trade-related duties.

Compliance Rate:

Adherence to financial and trade regulations.

Accuracy in Financial Reporting:

Precision in trade finance documentation and transaction processing.

6. Tools & Communication Channels



Email and communication platforms (e.g., Outlook, Zoom, Microsoft Teams). Financial and trade management software. Document management systems for secure record-keeping. Regular reporting and performance review meetings.
