We are seeking a highly organized and efficient Secretary to join our team. The ideal candidate will provide administrative support to ensure the smooth operation of our office and assist senior management with their day-to-day tasks.
Key Responsibilities:
Administrative Support: perform a variety of clerical and administrative duties including handling and managing all incoming and outgoing correspondence, including emails, phone calls, and letters, managing correspondence, and maintaining office supplies.
Scheduling: Organize and schedule appointments, meetings, and travel arrangements for senior management.
Document Management: Prepare, organize, and manage documents, reports, and records, both physical and digital.
Communication: Serve as the first point of contact for clients, visitors, and staff, providing information and directing inquiries appropriately.
Data Entry: Maintain accurate records and databases, ensuring all information is up-to-date and easily accessible.
Office Management: Oversee the maintenance of office equipment and facilities, ensuring a clean and safe working environment.
Confidentiality: Handle sensitive information with discretion and privacy.
Support to HR: Assist with HR-related tasks such as onboarding new employees, maintaining employee records, and coordinating training sessions.
Qualifications:
Education: High school diploma or equivalent; additional administrative assistant or secretary qualifications will be a plus.
Experience: Proven experience as a secretary or administrative assistant.
Skills:
- Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and as part of a team.
- Familiarity with office management procedures and basic accounting principles.
