Job Description

Secretary: "Should have their own Visa/Residency" (WE DO NOT PROVIDE NEITHER VISA NOR RESIDENCY/INSURANCE)

Key Responsibilities:

• Administrative Support:
• Manage the daily schedule of executives and managers.
• Coordinate and arrange meetings, including preparing agendas and materials, taking minutes, and following up on action items.
• Handle correspondence, including emails, phone calls, and mail, ensuring timely and accurate responses.
• Document Management:
• Prepare and edit correspondence, reports, presentations, and other documents.
• Maintain filing systems, both electronic and physical, ensuring easy retrieval and security of documents.
• Office Management:
• Order and maintain office supplies and equipment.
• Coordinate maintenance and repair of office equipment.
• Ensure the office is organized and tidy.
• Customer Service:
• Greet and assist visitors, ensuring a professional and welcoming environment.
• Handle inquiries and provide information to internal and external parties.
• Data Entry and Record Keeping:
• Enter and update data accurately in databases and spreadsheets.
• Maintain and update contact lists and other records.
• Financial Administration:
• Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
• Track and reconcile budgets and expenditures.
• Event Coordination:
• Plan and coordinate office events, meetings, and conferences.
• Manage logistics, including catering, venue booking, and travel arrangements.

Qualifications:

• Education: High school diploma or equivalent; an associate degree or relevant certification is a plus.
• Skills:
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
• Excellent written and verbal communication skills.
• Strong organizational and multitasking abilities.
• Attention to detail and problem-solving skills.
• Ability to maintain confidentiality and handle sensitive information.
• Customer service orientation and interpersonal skills.

Pay: AED2,500.00 - AED3,000.00 per month

Ability to commute/relocate:

• Abu Dhabi: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

• secretary: 1 year (Preferred)

Language:

• English (Preferred)
