Reports to: Logistics Manager Job Type: Project-based, Full-time for 1 yearOverview: We are seeking a highly organized and detail-oriented training course Scheduler cum Admin Associate who is fluent in both Arabic and English. This position will be responsible for managing course scheduling, maintaining filing systems, and handling various administrative tasks. The ideal candidate will also oversee attendance tracking, allocate instructors to classes, and ensure smooth operational coordination of course activities. Key Responsibilities:
Course Scheduling & Management:
o Load all courses into the system and ensure accurate scheduling of classes. o Maintain and update the course schedule, making adjustments as necessary. o Allocate instructors to each class based on availability and expertise. o Coordinate the scheduling of attendees for each class.
Attendance Management:
o Track and maintain lesson attendance for each class. o Flag any lateness or absences and ensure timely follow-up. o Consolidate attendance records from instructors and ensure they are accurately updated. o Generate reports on attendance as required.
Administrative Support:
o Handle general administrative tasks, including document filing, organizing schedules, and handling correspondence. o Assist in maintaining the filing system for student and course records. o Support the coordination of various administrative activities for smooth training operations.
Communication & Coordination:
o Communicate with instructors and students regarding class schedules and attendance matters. o Ensure all scheduling and administrative tasks are completed in a timely and efficient manner.QualificationsQualifications and Skills:
Fluency in both Arabic and English, written and spoken.
Strong organizational skills with attention to detail.
Experience in scheduling or administrative roles, preferably in an academic environment.
Proficiency in MS Office (Excel, Word, Outlook) and scheduling software.
Ability to manage multiple tasks simultaneously and meet deadlines.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team.
Preferred Qualifications:
Previous experience in a university or academic setting.
Knowledge of attendance tracking systems and software.
