Sales Document Controller Senior Specialist

Job Description

The Senior Sales Document Controller is responsible for managing, organizing, and maintaining all & taking by the Risk committee the deal decisions and sales-related documents to ensure smooth and efficient operations within the sales department. This role involves overseeing the documentation process, ensuring compliance with company policies, and supporting the sales team by providing timely and accurate information.

Document Management:

Oversee the creation, review, and maintenance of sales documents, including contracts, proposals, quotations, and agreements.

Maintain preparation of the documents for the Risk committee decisions, receiving the expert positions of the risks, compliance, legal, etc. based on the companies' procedure.

Organise the process of receiving from the client the necessary documents.

Ability to maintain/check calculations for the client.

Reporting the deal to the credit committee.

Being ready to prepare the documents and deal with the client individually in case of the absence of the sales team representative in the region.

Ensure all sales documents are accurately filed, easily retrievable, and stored securely by company policies.

Familiarity with industry regulations and compliance requirements related to sales documentation.

Process Improvement:

Develop and implement efficient document control processes to streamline the flow of information within the sales department.

Develop the process of control of the sales representative in regions of the international car business for preparation and execution of the deals.

Participation in developing new products for the international car business

Active participation in the development of functionality of sales and execution in CRM/ERP system that is developing in the company

Continuously evaluate and improve document control procedures to enhance efficiency and compliance.

Compliance and Quality Control:

Ensure all sales documents comply with company standards, industry regulations, and legal requirements.

Conduct regular audits of sales documents to ensure accuracy and completeness.

Coordination with the Sales Team:

Provide administrative support to the sales team by preparing and distributing sales documents as needed or control of the sales representative in the regions.

Assist in the preparation of sales reports, presentations, and other related documents.

Collaboration:

Collaborate with other departments, such as legal, finance, and operations, to ensure cohesive and efficient document-handling processes & expert positions for the risk committee receiving.

Act as the point of contact for deal document-related inquiries from internal and external stakeholders.

Key Performance Indicators :

On-time and quality preparation of the deal to the Risk Committee and positive decision-making taking.

Submission of documents to the customers and international divisions of the company.

Timely monitoring and reporting of Documents.

Quality of reports submitted.

Requirements

Education:

Diploma degree from an accredited institution in,Business management, or any equivalent degree.

Preferred Master's degree in Business Administration

Experience:

Minimum of 5 years of experience in document control or a similar role, preferably within a sales environment.
