JOB DESCRIPTION Summary of job Sales background is a must Provide full administrative and secretarial support at a senior level to the Director to ensure the smooth management of his / her day to day affairs, and most effective use of her time. Handle sensitive and complex issues in a professional and objective manner. Take initiative as appropriate especially in the Directors absence. Main responsibilities \xc2\xb7 Manage Directors electronic diary, assessing priority of appointments and reallocation as necessary. \xc2\xb7 Process Directors correspondence, ensuring that incoming correspondence is dealt with by the Director/or on behalf of the Director, or other staff as appropriate. \xc2\xb7 Maintain Directors office systems, including data management and filing. \xc2\xb7 Maintain records of Directors contacts. \xc2\xb7 Screen calls, enquiries and requests, and deal with them when appropriate. \xc2\xb7 Assist Director in researching and following up with action on matters which fall within the Directors responsibility - chasing responses, triggering follow-up action. \xc2\xb7 Produce documents, briefing papers, reports and presentations for the Director. \xc2\xb7 Organize meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers. \xc2\xb7 Manage arrangements for Trustees and Sub-Committee meetings, including production/distribution of agenda and papers. \xc2\xb7 Assist/support Director, Development Manager & Communications Manager in arranging funding partner and other events. \xc2\xb7 Meet and greet visitors at all levels of seniority. \xc2\xb7 Supervise all Trust incoming/outgoing mail. Any other duties as may reasonably be required by the Director. Personal Specs. \xc2\xb7 Educated to degree level or equivalent. \xc2\xb7 Experienced Personal Assistant at senior management level. \xc2\xb7 Experience of electronic diary management. \xc2\xb7 Experience of working in a Higher Education Environment. \xc2\xb7 Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external to the University. \xc2\xb7 Ability to organize and plan own work. \xc2\xb7 Excellent attention to detail, with the ability to maintain a high level of accuracy. \xc2\xb7 A flexible, pro-active approach to work including the ability to priorities and re-priorities. \xc2\xb7 Ability to work on own initiative. \xc2\xb7 Ability to deal with sensitive information with discretion and to maintain confidentiality. \xc2\xb7 Excellent IT skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint. * At least 1 year experience in the same field is a MUST.
