About the role An exciting role has arisen for a hard-working Sales & Marketing Coordinator to join the Sales & Marketing department at Jumeirah Muscat Bay Resort, the purpose of this job will be to assist the Director of Sales and Marketing and Marketing team in smooth functioning of the department. Your key responsibilities will include:
Marketing & Communications · Assist with various marketing initiatives as required eg. Planning and coordination of Media FAM trips, press visits, site inspections, client events, photoshoots, influencer handling. · Social Media Channels: ensure comments and messages are responded to promptly and courteously. Plan social media content on a monthly/ quarterly basis and review with Marketing Manager or Director of Sales & Marketing · Manage sales and marketing departmental requests for collateral and promotional items. Ensure all orders are delivered on deadline. · Manage the Sales & Marketing team site on Mercury & Yammer. · Assist in the process of drafting familiarization trips itinerary for both Sales & PR visits, coordinate with the GSOs or PR teams and Agencies to finalize the plan and the program. (i.e. booking rooms, complete forms, send itineraries with the assistance of the teams.) · Establishes and maintains professionally effective communication within the Sales & Marketing Team and to supporting departments.
Sales · Assist the proactive sales team in their day-to-day operations (organizing site visits, planning sales calls and missions, organizing travel etc.) · Assist the conversion sales team in writing proposals and contracts, following up with clients. · Learn how to build and maintain client relationships in both Sales & Marketing. · Coordinating with respective departments for VIPs, arrival details, amenities, special arrangement for in-house or visiting clients. · Assist team in client requests in their absence or when needed.
Administrational · To build the month end report for the team to enter their comments and build up their feedback by the end of 1st week of the month. · Maintain and record departmental leave and attendance in the system. Prepare vacation plans and trace sick and lieu days. Act as the LMS and training coordinator for the team. · Maintain an all-encompassing filing system. · Generate reports as required by the department. · Maintain stationary, collateral, and promotional item inventories. · Handle business-related room reservations, meeting room bookings, restaurant reservations and site inspections for the Sales & Marketing team and suppliers as needed. · Handles the tracking of purchase requisitions of the Sales & Marketing department, ensuring that tracking of items purchased are monitored and followed up. · Manages and controls the monthly departmental P&L to ensure all is tracked and communicated accordingly to finance. · Process and handles business trips (TAF's, flight booking, accommodation, collaterals, and other necessary requirement for the trip) on behalf of the team. · To attend Sales & Marketing meetings and any other meetings requested and produce minutes to be distributed to the relevant departments. About You In order to be considered for this role, you should have a University Degree or equivalent, preferably in Hospitality or Marketing. At least 1 - 3 years experience in a 5 Star Luxury Hotel in a Marketing role (Essential), or a combined Sales and Marketing role (preferable).
