They are dedicated to the pursuit of knowledge, innovation, and the development of future leaders.Position Summary:The Recruitment Administrator provides crucial back-office support to the recruitment team, ensuring smooth and efficient hiring processes. This bilingual role (Arabic and English) involves managing document collection, processing, and supporting talent acquisition efforts, along with facilitating the onboarding of new hires.Key Responsibilities:
Document Collection and Processing:
Collect, verify, and organize required documents from candidates, such as identification, academic credentials, and reference checks.Maintain accurate and up-to-date records in the applicant tracking system (ATS) and HR databases.Follow up with candidates to ensure timely submission of all necessary documents.
Back-Office Support:
Provide administrative support to the recruitment team, including scheduling interviews, assessments, and meetings with candidates and hiring managers.Assist in preparing job advertisements and posting them on various job boards and the university\'s career portal in both Arabic and English.Screen applications and resumes, performing initial evaluations of candidate qualifications and suitability.Coordinate logistics for recruitment events such as job fairs, open houses, and campus recruitment activities.
Talent Acquisition Support:
Assist in the organization and execution of recruitment campaigns and initiatives to attract top talent.Manage candidate communications, providing updates on application status and responding to inquiries in both Arabic and English.Prepare and distribute offer letters, contracts, and other hiring documents.
Onboarding:
Facilitate the onboarding process for new hires by preparing and distributing onboarding materials and coordinating orientation sessions.Ensure completion of onboarding forms, including employment contracts, medical questionnaires, etc
Data Management and Reporting:
Maintain and update the ATS and other recruitment databases, ensuring data integrity and confidentiality.Generate and compile recruitment metrics and reports for analysis by the recruitment team and HR management.Handle confidential information with the highest level of professionalism and discretion.
Process Improvement:
Identify opportunities to streamline recruitment processes and improve efficiency.Support the implementation of recruitment policies, procedures, and best practices.Qualifications:Bachelor\'s degree in Human Resources, Business Administration, or a related field preferred.Experience:Minimum of 3-5 years of experience in recruitment, HR administration, or a similar role, preferably in an academic, government or higher education setting.Working knowledge of applicant tracking systems (ATS) and HR software.Bilingual proficiency in Arabic and English, both written and spoken, is essential.Skills:
Excellent organizational and time-management skills.
Strong communication and interpersonal abilities in both Arabic and English.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Attention to detail and ability to handle multiple tasks simultaneously.
Ability to manage confidential information with integrity and professionalism.
Other Requirements:
Knowledge of employment laws and regulations in the UAE.
A proactive approach with a willingness to take initiative and adapt to changing priorities.
