Receptionist/administrative Assistant

Job Description

The Receptionist/ Admin Assistant position will ensure that the front desk reception is attended at all times. Answer all telephone calls based on the standards. Supporting the HR department with a range of administrative duties.

Roles and Responsibilities:

Reception Duties:

• Answer telephones and give appropriate information to callers, take messages, or transfer calls to individuals.
• Ensure the office premises especially reception is managed well though Office assistant.
• Everyday review on pantry and storage arrangements, wastage clearance, reception and general office maintenance.
• Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
• Manage Visitors book with all details of the person entering and exiting the company.
• Manage office supplies inventory and purchasing.
• Manage pantry supplies.
• Manage hotel, flight and other booking arrangements if needed from Admin point of view.
• Maintain scheduling and event calendars for interviews.
• Locate and attach appropriate files to incoming correspondence requiring replies.
• Mail newsletters, promotional material, and other information.
• Manage courier, tracking of shipment and deliveries.
• Ensure that the finance team receives the Etisalat, Insurance, Stationary, pantry item, and any other admin bills on time after the approval of HR Manager.

Admin Duties:

• Record all daily interviews and CV details for records.
• Assist in maintaining the HRIS (finger print system) and ready to resolve ad-hoc queries plus coach and educate our workforce on how to make effective use of the system. Generate attendance reports on weekly basis to clear the same.
• Collaborate with the team to provide flawless logistic support for recruitment and wellbeing activities.
• Support HR Manager in documentations and admin duties as and when needed.

Requirements:

• 3-4 years experience managing front office with administrative duties. (Home country experience is also fine)
• An Under Graduate of any specialization.
• Committed Personality with willingness to learn and grow.
• Candidate with good communication in English and Hindi would be preferable.
• She should be able to accommodate extended working hours as and when need for the business.

Job Type: Full-time

Pay: AED2,500.00 - AED3,500.00 per month
