We are looking for a Receptionist to join our Head Offices in Umm Al Quwain. Below is a brief of the roles & responsibilities.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Main Duty is to receive the phone calls and to help the customers to reach the concerned person or department.
Directing guests and answering their questions
General administration duties, photocopying, filing etc.
Making the booking in FedEx for documents and non-documents shipping.
Receiving the couriers from different courier agents and sending to the concerned person by keeping a file of records of received courier.
Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures; monitoring logbook; issuing visitor colour code badges for the different areas.
Maintaining security and telecommunications systems
Maintains safe and clean reception area by complying with procedures, rules, and regulations. Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
Notifying other workers of visitor arrival
Contributing to the team by accomplishing tasks as needed
Scheduling appointments and maintaining appointment calendar
Coordinating meetings and organizing catering and room bookings
Responsible for sending and receiving documents/packages.
Receiving invoices given by the supplier holding store in-charge signatures.
Receiving & Sending the fax.
Data entry onto internal systems.
