Receptionist Level I Description We are looking for a talented RECEPTIONIST LEVEL I to join our team specializing in G ENERAL MANAGEMENT for our DISTRIBUTION BUSINESS SEGMENT in DUBAI, UNITED ARAB EMIRATES. In this role, the candidate will make an impact in the following ways;
  • Acts as the organization\'s first point of contact for visitors and/or callers while ensuring professional communication.
  • Schedules appointments, meetings and books conference rooms. Orders lunch for both employees and visitors. Assists with managing the office supplies stockroom, places office supplies orders and maintains effective administration.
Receives and directs calls in a courteous and efficient manner. Completes all incoming and outgoing mail requirements, including courier services and manages maintenance of the postage machine as applicable.
  • Maintains badges for new hires, contractors and visitors. Contacts vendors and suppliers as requested to advise of plant/site shutdowns and other disruptions in service. Performs activities under direct supervision. ensures and maintains proper sign-in documents and explains/follows safety procedures.
  • Processing and managing invoices for the company; verifies invoices, ensuring accuracy of data, and communicating with vendors and internal departments to resolve any discrepancies. Liaises with finance department to establish organization and accuracy.
  • Contacts vendors and suppliers as requested to advise of pantry stock delivery as required. Updates monthly trackers and maintains records to provide to management and other stakeholders in the company. Assists with raising purchase orders for the company as required. Applies for entry pass for guests and employees as required.
Qualifications To be successful in this role the candidate will need the following:
  • High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.
  • Communicates effectively - Developing and delivering multi-mode communications that convey a clear understanding of the unique needs of different audiences. Customer focus - Building strong customer relationships and delivering customer-centric solutions.
  • Plans and aligns - Planning and prioritizing work to meet tasks aligned with organizational goals.
  • Action oriented - Taking on new opportunities and tough challenges with a sense of urgency, high energy, zeal and ensures accountability.
