As the first point of contact at Hytec Auto Services, the Receptionist plays a critical role in ensuring excellent customer service and smooth day-to-day operations. The ideal candidate will manage incoming communications, greet clients, and provide administrative support while maintaining a friendly and professional demeanor.
Key Responsibilities
Customer Interaction:
Greet customers and visitors warmly, ensuring a positive first impression.
Address inquiries about services, pricing, and appointments, either in person or via phone/email.
Appointment Management:
Schedule, reschedule, and confirm service appointments efficiently.
Coordinate with technicians to manage customer flow and minimize wait times.
Administrative Duties:
Maintain records of customer information, vehicle details, and service history.
Process payments, issue invoices, and handle billing inquiries.
Communication Management:
Answer and direct phone calls to relevant team members or departments.
Handle email correspondence professionally and promptly.
Office Organization:
Keep the reception area clean, organized, and stocked with promotional materials.
Manage office supplies and ensure proper inventory levels.
Customer Experience:
Address and resolve customer concerns in a timely and empathetic manner.
Collect customer feedback and provide insights for service improvement.
Qualifications and Skills
Proven experience as a receptionist, front desk assistant, or similar role (experience in the automotive industry is a plus).
Strong communication and interpersonal skills.
Ability to multitask and work in a fast-paced environment.
Proficient in Microsoft Office Suite and appointment scheduling software.
Professional appearance and demeanor.
High school diploma or equivalent (additional certifications are a plus).
