The roleAs part of the Property & Workplace team, the role of the Receptionist is to help provide a first class professional reception service to DLA Piper, which is client and commercially focused and supportive of the firms business needs and vision.You will be required to attend to the front of the house responsibilities, which will include attending to and looking after visitors and the relevant Facilities.This job description is not exhaustive and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the department.MAIN DUTIES AND RESPONSIBILITIES
Provide a first class, professional and courteous reception service to guests and colleagues. Working as part of the Reception team to deliver an efficient reception service to the firm.
Ensure visitors are greeted and attended to in an efficient, courteous and responsive manner at all times.
Be proactive in the management of visitors, ensuring that no visitor is left unattended or unmanaged.
Attend to reception calls, both internal and external, and divert to the relevant department / individual and manage driver calendars by assigning jobs as required.
Book meeting rooms in MS Outlook and arrange any pre-requisites for the meetings, read and respond to reception emails in a timely manner.
Take refreshment requests from the meeting rooms, prepare beverages and serve. Collect used crockery from meeting rooms, hand wash and keep ready for next use. Track and replenish stock of client kitchen items, meeting rooms supplies, coffee machine consumables, crockery, etc.
Prepare the meeting room in advance by connecting presentation laptops with presentation files in Microsoft PowerPoint , MS Teams meeting links, flashdrives, pointers /clickers, notepads, pens, projector / TV, window blinds management, flip chart boards, markers, arranging additional chairs or any pre-requisites for the meeting.
Ensure catering is arranged as per request, served at the correct time and catering bills are processed timely.
Ensure the reception and meeting room areas are maintained, kept tidy at all times and in excellent condition. Report any maintenance or related problems to the appropriate department immediately as they become apparent. Work in co-operation with colleagues in the Property & Workplace department and in other departments to ensure the smooth and efficient operation of the reception and meeting room areas.
Work in co-operation with security teams on car parking and other related areas of visitor management.
React efficiently and promptly to any queries, requests or problems.
Assist with maintaining, in an efficient and timely manner, all reception and meeting room related documentation. Ensure any brochure stands, newspapers and magazines etc are kept tidy and up to date.
Ensure any reception and meeting room service level agreements are adhered to and attend staff meetings as appropriate.
Respond effectively, promptly and reliably to general enquiries from internal and external contacts.
Recognise issues arising from disability and special needs of visitors, recognise impact of cultural differences and expectations of different culture, appreciate the role of others in the Property & Workplace team, and in the organisation in general.
Support other members of the Reception and Property & Workplace teams and provide adequate cover in the absence of department staff.
Read and understand the requirements of the firms Health and Safety policy and ensure that it is applied appropriately.
Undertake ad hoc projects as directed by the Team leader and any other duties which may reasonably be deemed to come within the scope of the role.
ABOUT YOU
Highschool graduate or higher
Proficient in the use of Microsoft programs like Outlook , Excel, PowerPoint, Teams
Experience in operating in a similar role in a corporate environment.
Excellent communication skills
Have the ability to prioritise and multi task.
Demonstrates flexibility, initiative and a willingness to take responsibility.
Able to work as part of a team
