Job Summary:
We are looking for a friendly and organized Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. The ideal candidate will have excellent communication skills and a welcoming demeanor, ensuring that all visitors and clients receive outstanding service.
Key Responsibilities:
Greeting Visitors:
Welcome and greet visitors as soon as they arrive at the office.
Direct visitors to the appropriate person and office.
Answering and Directing Calls:
Answer, screen, and forward incoming phone calls.
Provide basic and accurate information in-person and via phone/email.
Managing Appointments:
Schedule and confirm appointments and meetings.
Maintain and update calendars for appointments.
Clerical Duties:
Perform clerical duties such as filing, photocopying, scanning, and faxing.
Handle and distribute incoming and outgoing mail and packages.
Administrative Support:
Provide administrative support to various departments as needed.
Maintain office security by following safety procedures and controlling access via the reception desk (monitoring logbook, issuing visitor badges).
Maintaining Office Supplies:
Keep inventory of office supplies and order new supplies as needed.
Ensure the reception area is tidy and presentable, with all necessary stationery and materials.
Customer Service:
Address customer inquiries and provide general information about the company and its services.
Handle complaints or issues in a professional manner and escalate to appropriate personnel if necessary.
Record Keeping:
Maintain updated records of office expenses and costs.
Update and manage contact lists.
Coordination and Communication:
Coordinate front-desk activities, including distributing correspondence and redirecting phone calls.
Communicate effectively with staff and management to facilitate smooth office operations.
