Position Title: Real Estate Receptionist cum Secretary
Department: Administrative
Reports To: Office Manager / Senior Management
Location: Business Bay, Dubai

Salary Range: AED 2,500 to AED 3,500

Job Summary:

We are seeking an experienced Real Estate Receptionist cum Secretary to join our team. The ideal candidate will manage the front desk, provide administrative support to the real estate team, handle client paperwork, and ensure compliance with RERA rules.

Key Responsibilities:

Reception Duties:

• Greet and welcome visitors and clients in a warm and professional manner.
• Answer and direct phone calls, take messages, and handle inquiries promptly and efficiently.
• Maintain a tidy and presentable reception area.

Administrative Support:

• Provide administrative support to the real estate team, including scheduling appointments, preparing documents, and managing correspondence.
• Maintain and organize office files, records, and databases.
• Assist in preparing real estate documents such as contracts, agreements, and property listings.
• Coordinate and arrange meetings, conferences, and travel arrangements.

Client Paperwork:

• Assist clients with completing necessary paperwork and forms, ensuring accuracy and compliance with regulations.
• Prepare and process real estate transaction documents, including sales agreements, lease agreements, and disclosures.
• Ensure all client documents are correctly filed and stored in accordance with company policies.

RERA Compliance:

• Maintain up-to-date knowledge of RERA rules and regulations.
• Ensure all real estate transactions and documentation comply with RERA requirements.
• Assist in the preparation and submission of necessary documents to RERA as required.

Client Interaction:

• Assist clients and visitors with inquiries regarding property listings, viewing appointments, and other real estate services.
• Handle client complaints or direct them to the appropriate personnel for resolution.

Office Management:

• Manage office supplies inventory and place orders when necessary.
• Ensure the proper functioning of office equipment and coordinate maintenance or repairs as needed.
• Assist in maintaining the cleanliness and organization of the office.

Communication:

• Communicate effectively with clients, real estate agents, and other staff members.
• Prepare and distribute internal communications and memos.

Other Duties:

• Perform any other tasks as assigned by the management.

Qualifications and Skills:

• High school diploma or equivalent; additional qualifications as a secretary or administrative assistant are a plus.
• Proven experience as a Real Estate receptionist, secretary, or similar role in a real estate environment is required.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Professional appearance and demeanor.
• Customer service-oriented attitude.
• Ability to work independently and as part of a team.
• Knowledge of RERA rules and real estate terminology and procedures is required.
