Job Summary:

The Reception Manager is responsible for overseeing customer interactions, managing cash transactions, and ensuring a smooth workflow at the service center. This role focuses on enhancing customer experience, handling mechanical service requests, upselling additional services, and converting walk-in customers into loyal, repeat clients.

Key Responsibilities:

Greet walk-in customers professionally and understand their service requirements. Manage appointment scheduling and ensure efficient customer flow. Address customer inquiries, complaints, and service-related concerns with professionalism. Maintain a welcoming and organized reception area to enhance customer experience. Process cash payments accurately and issue receipts for services rendered. Ensure proper record-keeping of cash transactions and maintain daily cash reconciliation. Coordinate with the finance team for deposit handling and financial reporting. Assist customers in diagnosing mechanical issues and recommend appropriate services. Liaise with workshop technicians to ensure timely vehicle servicing and repair completion. Communicate clearly with customers regarding repair estimates, timelines, and service progress. Promote additional services such as oil changes, wheel alignments, and detailing. Encourage customers to opt for preventive maintenance and service packages. Develop and implement strategies to convert walk-in customers into repeat clients. Build strong customer relationships to enhance loyalty and retention. Identify opportunities to upsell extended warranties, accessories, and premium service options. Maintain records of customer preferences and recommend relevant future services. Offer special deals or loyalty programs to encourage repeat business. Ensure compliance with company policies and service center guidelines. Maintain accurate customer records, service histories, and transaction reports. Provide management with daily, weekly, and monthly sales and service reports.
Requirements:

Diploma or Degree in Business Administration, Automotive Technology, or related field. Minimum 3-5 years in a customer service or reception management role, preferably in an automotive service center. Strong interpersonal and communication skills. Ability to handle cash transactions with accuracy. Sales and upselling experience in the automotive sector. Excellent problem-solving and multitasking abilities. Proficiency in CRM and service management software.
