Job Overview:
We are looking for an experienced and highly organized Real Estate Secretary to support our dynamic real estate team and assist the CEO. The ideal candidate will have at least 2 years of experience in the UAE real estate market and a strong understanding of online property platforms like Dubizzle, Bayut, and Property Finder . This role requires a proactive, detail-oriented individual with excellent administrative and communication skills, capable of managing both client-facing and internal tasks with efficiency and professionalism.
Key Responsibilities:
• Administrative Support: Provide high-level administrative assistance to the CEO and real estate team, ensuring smooth daily operations.
• Platform Management: Manage and update property listings on leading UAE real estate platforms (Dubizzle, Bayut, Property Finder). Ensure all listings are accurate, timely, and optimized for maximum visibility.
• Client & Vendor Communication: Handle incoming inquiries via email, phone, and online platforms, offering prompt and professional responses. Coordinate with clients, tenants, landlords, and service providers to facilitate smooth property transactions.
• Document Preparation: Draft and review real estate contracts, agreements, and other necessary paperwork, ensuring accuracy and compliance with UAE real estate laws and regulations.
• Scheduling & Coordination: Organize appointments, property viewings, meetings, and events for the CEO and the real estate team. Ensure the calendar is efficiently managed and all logistics are in place.
• Data Entry & Reporting: Assist with data entry, maintain accurate property records, and prepare regular reports for the CEO and senior management regarding listings, sales, and client interactions.
• Project Support: Assist with ongoing real estate projects, including market research, client follow-ups, and coordination of property inspections.
• Office Administration: Support general office tasks, such as filing, organizing documents, maintaining office supplies, and assisting with day-to-day operations.
• Market Research & Competitor Analysis: Help monitor market trends and competitor listings on platforms like Dubizzle, Bayut, and Property Finder to provide insights to the real estate team.
• Customer Service: Provide excellent customer service to clients, addressing inquiries, concerns, and feedback in a professional and efficient manner.
Required Skills and Qualifications:
• Experience: Minimum 2 years of experience as a secretary or administrative assistant in the UAE real estate industry.
• Platform Knowledge: Familiarity with property listing management on major UAE platforms such as Dubizzle, Bayut, and Property Finder.
• Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with CRM software and real estate management tools is a plus.
• Communication: Excellent written and verbal communication skills in both English and Arabic (preferred). Ability to communicate effectively with clients, team members, and senior management.
• Organizational Skills: Strong attention to detail, exceptional organizational skills, and the ability to prioritize tasks and meet deadlines in a fast-paced environment.
• Confidentiality & Professionalism: Ability to handle sensitive information with discretion and maintain a high level of professionalism at all times.
• Knowledge of Real Estate Regulations: Understanding of UAE real estate laws and regulations is highly desirable.
• Multitasking: Ability to manage multiple tasks simultaneously, from client interactions to administrative support for the CEO.
Preferred Qualifications:
• Education: Bachelor's degree or equivalent experience in administration, business, or real estate.
• Experience with Real Estate Databases: Familiarity with CRM systems, MLS platforms, or property management software is a plus.
• Client-Facing Skills: Previous experience in customer service or client relations within the real estate sector is advantageous.
