We are currently seeking a highly organized and detail-oriented Real Estate Administrator with experience in property management and lead management to join our growing team.
Qualifications:
• Proven experience as a real estate administrator, property manager, or in a similar administrative role within the real estate industry.
• Strong organizational and multitasking skills with attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with CRM systems.
• Knowledge of real estate terminology, practices, and documentation, including drafting Contract A, B, and F, Ejari, and tenancy contracts.
• Ability to work independently and as part of a team in a fast-paced environment.
• High level of professionalism and confidentiality.
Responsibilities:
Administrative Support:
• Provide comprehensive administrative support to the real estate team.
• Manage daily office operations, including handling calls, emails, and correspondence.
Property Management:
• Assist in managing property portfolios, including tenant communications, lease agreements, and property maintenance.
• Coordinate property viewings, inspections, and ensure all properties meet company standards.
Lead Management:
• Maintain and update lead databases, ensuring accurate and timely data entry.
• Follow up on leads, schedule appointments, and support the sales team in converting leads to clients.
Document Management:
• Prepare, proofread, and manage real estate documents, such as contracts, agreements, and leases.
• Ensure proper filing and organization of documents, both physical and electronic.
Client Interaction:
• Schedule and coordinate meetings, property viewings, and appointments with clients.
• Provide excellent customer service by addressing client inquiries and concerns promptly.
Marketing Support:
• Assist with marketing activities, including creating and distributing marketing materials, managing social media accounts, and updating property listings on various platforms.
Financial Administration:
• Handle basic financial tasks such as processing invoices, managing petty cash, and tracking expenses.
• Assist in preparing financial reports and maintaining accurate financial records.
