Job Overview :

We are seeking a Real Estate Administrator & Customer Relations Executive to provide vital administrative support across all our real estate departments--sales, leasing, and marketing. This role is ideal for someone who is highly organized, detail-oriented, and proactive. The position requires overseeing back-office operations, managing real estate platforms, assisting with marketing-related tasks, and acting as the first point of contact for customer inquiries. The candidate will also take on reception duties and handle lead screening, ensuring that potential clients are thoroughly qualified and directed to the right teams.

As a key part of our team, this role reports to the Business Operations Executive and works closely with multiple departments to ensure smooth operations across the company. Flexibility, strong communication skills, and the ability to adapt in a fast-paced startup environment are essential.

Key Responsibilities : Administrative & Back-Office Support :

• Provide administrative support to the Sales, Leasing, and Marketing teams, ensuring the smooth operation of all real estate activities.
• Manage, prepare, and organize real estate documents, contracts, and forms.
• Ensure accurate and timely listing of properties on platforms like Bayut, Dubizzle, and Property Finder.
• Oversee the company's registrations and renewals with developers and agencies, tracking all necessary documents to ensure compliance.

Customer Relations & Lead Management :

• Serve as the first point of contact for all inquiries received through the company's info email and WhatsApp landline.
• Screen incoming leads from multiple platforms, qualify them based on established criteria, and forward them to the relevant sales or leasing team.
• Ensure lead management systems (Engaz CRM) are accurately updated, tracking lead conversion and follow-up activities.

Reception & General Office Support :

• Greet visitors and manage reception duties. While we have limited visitors, you'll be responsible for making a positive first impression when they do arrive.
• Assist with general office tasks, such as handling mail, coordinating meetings, and maintaining a well-organized office environment.

Marketing Assistance :

• Support the Marketing Department with tasks related to campaigns, ensuring smooth coordination between marketing and sales/leasing operations.
• Assist in creating marketing materials and updating property listings across digital platforms.
• Monitor inquiries generated by marketing campaigns and ensure they are promptly responded to.

Reporting & Performance Tracking :

• Prepare daily, weekly, and monthly reports that track key performance indicators, property listing performance, and lead activity.
• Assist with performance evaluations by providing data on lead conversions, platform usage, and overall customer engagement.

What We're Looking For :

• Experience : Minimum of 2 years in real estate administration, customer service, or related roles.
• Skills :
• Strong organizational skills and attention to detail.
• Excellent communication skills in English (Arabic proficiency is a plus).
• Ability to work independently, take initiative, and adapt to changing priorities in a fast-paced environment.
• Familiarity with real estate platforms such as Bayut, Property Finder, and CRM systems (Engaz CRM preferred).
• Flexibility : While we have official working hours, we value flexibility. As a startup, occasional flexibility in schedules may be required.
• Initiative & Responsibility : We are looking for someone who takes ownership of their tasks, is responsible, and can prioritize effectively. The ability to foresee issues, take initiative, and offer solutions is key to succeeding in this role.
