We are looking for a highly organized and detail-oriented

Real Estate Administrative Coordinator

to support our operations. The ideal candidate will play a crucial role in managing administrative tasks, coordinating with clients, and ensuring smooth day-to-day activities within the firm. This role requires someone with experience in real estate administration, CRM management, and

access to key platforms such as Property Finder, Bayut, Dubizzle, DLD portals, and CRM systems.



Key Responsibilities:



Administrative & Office Management



Handle daily administrative tasks, including scheduling meetings, managing documentation, and coordinating with the sales team. Ensure compliance with real estate regulations, including documentation and contract management. Maintain and update property listings on

Property Finder, Bayut, Dubizzle, and company website.

Organize and maintain files, records, and confidential real estate documents.

Real Estate Transactions & CRM Management



Access and manage listings on Property Finder, Bayut, Dubizzle, and other property portals.

Update CRM systems (

HubSpot, Salesforce, or other real estate CRMs

) with client inquiries, property details, and transaction statuses. Assist in preparing sales and lease agreements, tenancy contracts, and other necessary real estate documentation. Process Ejari registrations, Title Deed verifications, and coordinate with the Dubai Land Department (DLD) portals.

Client & Agent Support



Coordinate with real estate agents to ensure smooth client interactions and property viewings. Respond to client inquiries via email, WhatsApp, and phone, ensuring timely follow-ups. Assist in preparing presentations, reports, and market research for the sales team. Maintain a database of leads, clients, and property owners for effective follow-ups.

Finance & Compliance Coordination



Assist with

invoicing, commission tracking, and financial documentation

related to property sales and leases. Ensure proper documentation for

KYC (Know Your Customer) compliance, ownership verification, and payment processes.

Liaise with external agencies, developers, and government bodies for real estate transactions.

Requirements:



Proven experience in real estate administration

within Dubai or the UAE.

Access to Property Finder, Bayut, Dubizzle, and Dubai Land Department (DLD) portals.

Strong proficiency in

CRM tools (HubSpot, Salesforce, or any real estate CRM).

Excellent organizational and multitasking skills with attention to detail. Strong communication skills in English (Arabic is a plus). Knowledge of

Ejari, RERA regulations, and real estate compliance processes.


Preferred Skills:



Experience in

marketing property listings and coordinating with lead generation teams.

Familiarity with

real estate contracts, tenancy agreements, and sales documentation.

Ability to work in a fast-paced environment and manage multiple tasks efficiently.

Pay: AED4,000.00 per month
