We are seeking an experienced and proactive Real Estate Listing Associate / Office Admin to join our team. This role blends office management responsibilities with active involvement in the real estate listing process, including preparing necessary permits, documents, and contracts to support smooth transactions. The ideal candidate will be organized, detail-oriented, and experienced with real estate operations and Dubai's property market regulations.
Key Responsibilities:
Listing Associate Responsibilities:
• Coordinate all aspects of property listings, including preparing listing agreements, gathering property information, and ensuring accurate online listings.
• Obtain required listing permits from the Dubai Land Department (DLD) and ensure compliance with DLD regulations.
• Assist agents with preparing, reviewing, and submitting all necessary real estate forms, contracts, and documents for listings and transactions.
• Conduct research to support accurate property valuations and keep up with trends in the Dubai real estate market.
• Design and manage marketing materials for property listings, including brochures, social media content, and online advertisements.
• Maintain ongoing communication with clients, keeping them informed of listing progress, open house schedules, and feedback, ensuring an outstanding client experience.
Office Manager Responsibilities:
• Oversee daily office operations, such as ordering supplies, managing mail, answering calls, and coordinating office maintenance needs.
• Manage the office calendar, schedule appointments, and handle meeting room reservations.
• Prepare financial documents and reports, handle office budgets, and process invoices and expenses.
• Serve as the point of contact for vendors, contractors, and property-related inquiries.
• Support agents and team members with administrative tasks, helping to ensure smooth communication and workflow.
Qualifications:
• Proven experience in real estate, office management, or a related field, ideally with knowledge of Dubai's real estate market.
• Strong understanding of Dubai Land Department (DLD) listing requirements and experience obtaining listing permits.
• Excellent organizational and time management skills with an ability to handle multiple tasks and deadlines.
• Proficient in Microsoft Office Suite and real estate software platforms (experience with MLS, CoStar, or similar tools is preferred).
• Strong written and verbal communication skills.
• Ability to work independently and collaboratively with a team.
• High attention to detail and commitment to providing exceptional customer service.
