Performs a wide variety of complex responsible secretarial/clerical, and office functions in support of a department
• Perform secretarial, clerical, and office functions with high responsibility; assist in arranging and coordinating department activities.
• Establish and maintain records, filing systems, and logs for organized documentation.
• Reserve meeting sites, contact and confirm appointments and meetings, and take minutes in the absence of the Quality Coordinator.
• Operate computers, typewriters, duplicating machines, fax machines, calculators, and other office equipment as required.
• Utilize a variety of word-processing, graphic, presentation, and database software applications.
• Type, edit, and distribute correspondence, forms, policies, and procedures as needed.
• Participate effectively in implementing and following up on Quality Improvement (QI) Plan activities.
• Communicate relevant information from studies and data sources to the Head of the Department.
• Assist the Head of Department (HOD) in maintaining all records pertinent to the Joint Commission International Accreditation (JCIA) process.
• Facilitate JCIA meetings as needed.
• Help the HOD maintain records of policies, procedures, guidelines, forms, and other documents, ensuring current documents are circulated and expired ones are removed.
• Perform miscellaneous duties as requested by the HOD.
• Adhere to all Occupational Safety and Health (OSH) and infection control policies, standards, and procedures, cooperating with hospital management.
• Follow documented OSH procedures, fulfilling specific responsibilities accurately.
• Be familiar with emergency and evacuation procedures for a safe work environment.
• Report OSH hazards, incidents, near misses, and issues, assisting in the preparation of risk assessments and incident reports.
• Comply with waste management procedures and policies for a safe environment.
• Attend applicable OSH and infection control training programs, mock drills, and awareness sessions.
• Use appropriate personal protective equipment (PPE) and adhere to all safety system protocols.
• Support the development, monitoring, and implementation of the hospital's OSHMS in line with HAAD Health Sector OSHMS standards and requirements.
• Assist in developing and monitoring achievement of objectives and compliance with HAAD Health Sector OSHMS across all departments.
• Provide guidance to the OSH Committee, Infection Control, and Quality Improvement and Patient Safety Committees in creating programs and policies for OSHMS and Infection Control standards.
• Participate in or conduct investigations of incidents and outbreaks as applicable.
• Graduate of a Secretarial Course or an equivalent qualification.
• Six months or more experience in a healthcare setting.
• Excellent command of oral and written English; knowledge of Arabic is desirable but not essential.
• Responsible for continuous professional development beyond the minimum required preparation.
• Proficient in Word and Excel.
