Job Description

  • Provides Purchasing & administrative support to ensure efficient operation of office.
  • Monitor stock levels and identify purchasing needs
  • Research potential vendors
  • Track orders and ensure timely delivery
  • Update internal databases with order details (dates, vendors, quantities, discounts)
  • Conduct market research to identify pricing trends
  • Evaluate offers from vendors and negotiate better prices
  • Prepare cost analysis
  • Maintain updated records of invoices and contracts
  • Follow up with suppliers, as needed, to confirm or change orders
  • Liaise with Shop staff to ensure all products arrive in good condition
  • Handling basic bookkeeping tasks.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Greeting visitors and deciding if they should be able to meet with executives.
  • Answer phone calls, schedule meetings and support visitors.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
  • Exhibits polite and professional communication via phone, e-mail, and other communications tools.
  • Supports team by performing tasks related to organization and strong communication.
  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Provide general administrative support.
  • Provide all Admin work and assist to the Managing Partner in daily tasks requirements
Requirements
  • Work experience as a Purchasing Assistant, Purchasing Officeror similar role
  • Good understanding of supply chain procedures
  • Hands-on experience with purchasing software ( Odoo ERP)
  • Advanced knowledge of MS Excel
  • Knowledge of market research
  • Solid organizational skills
  • BSc in Logistics, Business Administration or relevant field
  • Hard Working and Ability to deal with Customers and suppliers in a diplomatic manner
  • Taking initiative and ability to make decisions
  • Excellent verbal and written communications skills in English / Arabic speaking is a plus
  • Discretion and confidentiality
  • PA diploma or certification is a plus
Job Types: Full-time, Contract, Permanent
Contract length: 24 months

Salary: From AED3,000.00 per month
